Job Description:
OverviewWe are seeking a highly organized and professional Administrative Support Receptionist to support the Medical Department at our client. This role serves as the first point of contact for employees, visitors, and medical staff while providing critical administrative, clerical, and records management support. The ideal candidate thrives in a fast-paced environment, can effectively multitask, and possesses excellent communication and organizational skills.
Key Responsibilities- Greet visitors and provide receptionist support for the Medical Department.
- Answer, screen, and direct incoming telephone calls; take and relay messages.
- Maintain employee medical files, charts, and departmental records.
- Process, organize, and file medical documentation, FMLA paperwork, and related forms.
- Print and manage Sedgwick correspondence and documentation.
- Coordinate MRI appointments, follow-up visits, and employee notifications.
- Respond to medical records requests, including employee requests, litigation requests, and subpoenas.
- Track and log incoming, outgoing, and transferred records.
- Order and maintain office supplies and medical forms inventory.
- Submit invoices and coordinate with internal departments as needed.
- Arrange transportation services, including employee taxi requests.
- Coordinate facility-related concerns such as lighting, cleaning, and maintenance requests.
- Maintain a clean, organized, and professional office environment.
- Perform additional administrative duties as assigned.
Required Qualifications- High School Diploma or GED.
- Previous clerical, administrative, or office experience.
- Proficiency with Microsoft Office applications.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple tasks and priorities simultaneously.
Preferred Qualifications- Experience working in a medical office, clinic, or healthcare environment.
- Medical background such as Medical Assistant (MA), Patient Care Technician (PCT), or similar healthcare support experience.
- Experience handling confidential records and documentation.
