Administrative Assistant – Project Coordinator (Part-Time)
Job Summary
Responsible for providing project-focused administrative, clerical, and operational support to the Orlando branch and engineering teams. Functions primarily involve high-volume data entry, project setup, tracking project lifecycles, and maintaining accurate job history records. Works closely with internal engineers, operations, and external contractors/customers in a fast-paced branch and distribution environment.
Major Tasks, Responsibilities and Key Accountabilities
- Accurately entering customer requests and new projects into internal systems to track job history and operational progress.
- Performs high-volume, detailed data entry across proprietary operating systems, project tracking platforms (e.g., Monday.com), and billing tools.
- Communicates and coordinates with customers, and internal engineering teams regarding project requests, records, and scheduling updates.
- Maintains, audits, and updates project records and files to ensure accuracy for operations and downstream billing.
- Ensures all documents and job files associated with department activities are complete, organized, and compliant.
- Reviews basic information on construction drawings, plans, and job documentation using established checklists (training provided).
- Learns and assists with billing data entry and related administrative processes as project knowledge expands.
- Performs other administrative duties as assigned.
Nature and Scope
Selects correct processes from clearly prescribed rules, checklists, past practices, or instruction.
Under general supervision, exercises sound judgment in accordance with well-defined procedures and techniques. Work involves regular review of data accuracy by a supervisor or team member.
Refers complex or unusual discrepancies to the supervisor.
Work Environment
Located in an office setting within a branch distribution facility.
Most of the time is spent sitting in a comfortable position with frequent opportunity to move about. On rare occasions, there may be a need to move or lift light office articles.
Education and Experience
High School Diploma or GED strongly preferred.
0–2 years of experience in administrative support, data entry, or office operations (experience in manufacturing, construction, distribution, or working with contractors is a plus).
Strong organizational skills, keen attention to detail, and comfort operating in a fast-paced work environment.
Part-time schedule: Approximately 20–25 hours per week (flexible daytime hours between 11:00 AM and 4:00 PM, Monday through Friday)
Preferred Qualifications
Knowledge of various business technologies, including Microsoft Office, along with strong technical documentation skills.
Must have experience working in a team-oriented, collaborative environment.
Associate's degree with administrative skills from a business school preferred.
Self starter with excellent organizational & communication skills.
