Office Services Associate
Los Angeles, CA (onsite)
3+Month Contract
Mon-Fri, 9am - 6pm

Seeking a Senior On-Site Services Specialist for a temporary assignment supporting a legal office environment. This role is responsible for document production, mail and shipping services, scanning, hospitality support, reception coverage, records management, and general office services. The ideal candidate will have legal industry experience, strong customer service skills, and the ability to work independently while handling highly confidential and time-sensitive documents.

Responsibilities

  • Operate high-volume copy, scanning, printing, binding, and finishing equipment.
  • Perform scanning, file conversion, file naming, OCR processing, electronic file management, and Table of Contents (TOC) management.
  • Handle highly sensitive and confidential legal documents with accuracy and attention to detail.
  • Perform quality control checks and ensure all completed work meets client specifications and deadlines.
  • Maintain and troubleshoot copier equipment, clear paper jams, perform routine maintenance, and coordinate service calls as needed.
  • Process incoming and outgoing mail, packages, faxes, and shipments; apply postage and maintain shipping/receiving records.
  • Complete mail runs and deliver documents, supplies, and completed projects to designated locations.
  • Assist with filing, document archiving, records management, and purging of files.
  • Maintain inventory of office supplies and distribute materials as required.
  • Calculate job charges and maintain billing, meter, and service logs.
  • Respond to customer requests and provide status updates on projects and services.
  • Provide professional support to legal secretaries, paralegals, associates, partners, project managers, and executive-level personnel.
  • Assist with hospitality services, meeting room and conference room setup, and backup reception duties.
  • Support building services, including office moves, light maintenance, re-lamping, housekeeping, and other facility-related tasks as assigned.
  • Coordinate off-site projects and vendors when required.
  • Operate bindery equipment, paper cutters, hole drills, joggers, tape machines, shrink-wrap machines, stackers, electric staplers, scales, postage meters, fax machines, and related office equipment.
  • Travel between customer buildings when required.
  • Perform additional duties as assigned.
  • Requirements

  • High school diploma or GED required.
  • 1 2 years of related office services experience required.
  • Minimum 2 years of legal industry experience highly preferred.
  • Previous experience in copy, print, scanning, mailroom, records management, or office services environments preferred.
  • Excellent customer service, communication, and interpersonal skills.
  • Ability to interact professionally with executive-level clients and legal professionals.
  • Strong attention to detail and commitment to quality and accuracy.
  • Experience handling confidential and time-sensitive documents.
  • Working knowledge of copier equipment, document production systems, and basic equipment repair preferred.
  • Familiarity with shipping, receiving, mail distribution, and inventory procedures.
  • Basic computer skills and ability to use document management and workflow systems.
  • Strong troubleshooting, problem-solving, and organizational skills.
  • Ability to read and understand technical manuals and written instructions.
  • Ability to work independently, manage multiple priorities, and meet tight deadlines in a fast-paced environment.
  • Ability to stand and walk for extended periods and lift up to 50 lbs.
  • Flexibility to work overtime, evenings, weekends, and emergency response situations when needed.
  • Positive attitude, flexibility, and willingness to support a variety of office services functions.
