Job Summary:

The Administrative Assistant I will be the face of the company at the front desk, greeting visitors and employees. This role will support the building departments by performing basic administrative duties. The Administrative Assistant I will oversee giving clients directions to various parts of the building, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.

Essential Duties and Responsibilities:

• Greet guests and employees and provide assistance.

• Provide excellent customer service, sort, and distribute mail, answer multi-line phone, and direct calls.

• Complete general administrative duties including making copies, filing, faxing, scanning, maintain visitor log, post, and maintain conference room schedules.

• Utilize Microsoft Office to prepare, maintain documents and ensure supplies are ordered and maintained.

• Activate customer badges, take badge photos, request badges from facilities, monitor badge expirations and control employee and visitor badges to ensure appropriate access.

• Perform other duties and responsibilities as assigned.

• Assist administrative team with work overflow and act as backup for vacation and absence coverage.

Skills, Knowledge and Abilities (required):

• Ability to work independently and in a team environment.

• Very detail oriented, effective written and verbal communication skills.

• Good customer service skills, reliable attendance, and ability to work overtime.

• Basic computer skills (Microsoft Outlook, Word, and Excel).

Education and Experience (required):

• High school diploma or equivalent.

• No previous experience required.
