    Overview:

    PCSI is seeking an experienced Administrative Assistant This position will report to the Project Manager/Foreman and is based in NAVSEA, San Diego. Typical work hours will be Monday through Friday from 6:30am-3:00pm

    What You'll Do as Administrative Assistant:

    • ​​​Answer phones and greet visitors.  
    • ​Schedule appointments and maintain calendars. 
    • ​Schedule and coordinate staff and other meetings.  
    • ​Prepare communications, such as memos, emails, invoices, reports and other correspondence. 
    • ​Write and edit documents from letters to reports and instructional documents. (Create Charters, SWARMC notes, and SWRMC instructions)  
    • ​Create and maintain filing systems, both electronic and physical. 
    • ​Manage accounts, perform bookkeeping, and complete payroll.  
    • ​Ability to generate floor plans via Visio or MS Excel for current and future room/office layouts.  
    • ​Ability to read diagrams, sketches, and facility floor plans. 
    • ​Responsible for assisting SWRMC’s FOS and NAVFAC’s FMS with project coordination. 
    • ​Inspect office furniture and spaces to determine if it needs to be replaced or renovation is necessary. 
    • ​Track financial progress of unfunded renovations and zero-based budget for code 1150. 
    • ​Generate laydown requests for base visitors and contracting companies.  
    • ​Manage SWRMC’s 5-Year Renovation Plan.  
    • ​Draft agenda and keep minutes for Quarterly Drumbeat/PFM Meetings. 
    • ​Take notes and observations during zone inspections. Submit trouble tickets for any findings during inspection. 
    • ​Responsible for phone coordination, LAN drops, and request forms for IT requests. 
    • ​Upload status updates in EDW system.  
    • ​Assist SWRMC’s FOS with SAR submittals.  
    • ​Schedule solicitation site walks. 
    • ​White spaces and facility inventory management. 
    • ​Present information of work done throughout week with weekly report of ongoing projects. 
    • ​May, on occasion, operate a company-owned vehicle (and cellular telephone) to transport self and others in performance of assigned duties.

    What You'll Need:

    • ​​​High school diploma or GED   
    • ​Minimum of one (2) year of prior experience working as an Assistant, or related experience preferred, but not required. 
    • ​Ability to work with little supervision and maintain a high level of performance. 
    • ​Must be able to read, write, and understand the English language.​​ 

    Knowledge, Skills and Abilities:

    • ​​​Requires knowledge of Smart phones, iPads, PC functions and software.  
    • ​Operation of windows applications, Adobe Pro, Adobe Acrobat, MS Outlook, MS Word, MS Excel, MS PowerPoint, Visio etc., and related applications. 
    • ​Ability to follow policies and procedures in place to perform duties assigned. 
    • ​Ability to assist and communicate with others as needed and establish effective working relationships.​​ 

     

    Other Requirements:

    • ​​​Ability to pass criminal, drug, and driving screening. 
    • ​Exposure to dirt, dust, loud noise, and outside weather conditions. 
    • ​Ability to climb, bend, squat, push, lift and carry objects up to 10 pounds; prolong walking up to 10%. 
    • ​Ability to work any time or day of the week, including weekends and holidays. 
    • ​Possess valid driver’s license and maintain good driving record. 
    • ​Ability to obtain and maintain a NACI clearance and Common Access Card.​​
