    Description

    EHS Administrative Coordinator

    Position Overview

    The EHS Administrative Coordinator provides administrative and organizational support to the Environmental, Health & Safety (EHS) department.

    This position is responsible for maintaining accurate records, entering and organizing data, managing documentation, and supporting the department with day-to-day administrative activities.

    The ideal candidate is highly organized, detail-oriented, comfortable working with confidential and safety-related information, and able to manage multiple priorities within a fast-paced manufacturing environment.

    Work Schedule & Location

    • Location: 1600 Harvard Ave, Cleveland, OH 44105

    • Schedule: Monday – Friday

    • Shift: 1st Shift

    • Position Type: Contract

    Key Responsibilities

    EHS Records & Documentation

    • Perform accurate and timely data entry for EHS records, reports, databases, and tracking systems.

    • Maintain, organize, and update electronic and hard-copy EHS files and documentation.

    • File and retrieve safety, environmental, training, inspection, incident, and compliance records as needed.

    • Organize information to ensure EHS documentation is easily accessible and maintained according to company requirements.

    • Maintain organized electronic folders and shared drives, ensuring documents are properly named, stored, and retained.

    • Review documentation for completeness, accuracy, and consistency and follow up on missing information when necessary.

    • Assist with maintaining records related to regulatory and company EHS requirements.

    • Handle sensitive and confidential information appropriately.

    Data Tracking & Reporting

    • Maintain spreadsheets, tracking logs, and databases related to EHS activities.

    • Assist with tracking:

      • Employee training

      • Certifications

      • Inspections

      • Audits

      • Corrective actions

      • Other EHS-related requirements

    • Prepare, organize, and distribute EHS forms, reports, communications, and supporting documentation.

    • Assist EHS personnel with compiling information and preparing reports, presentations, and meeting materials.

    Administrative Support

    • Support the scheduling and coordination of EHS meetings, training sessions, inspections, and other department activities.

    • Assist with maintaining safety bulletin boards, employee communication materials, and EHS resources.

    • Provide general administrative support to the EHS department.

    • Assist with special projects and other assigned responsibilities.

    Required Skills & Qualifications

    • 1–2+ years of related administrative, secretarial, office management, or similar experience.

    • Background in administrative support, executive secretarial work, and/or office management.

    • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.

    • Strong attention to detail and accuracy.

    • Strong time-management and communication skills.

    • Ability to prepare reports, business correspondence, and procedure documentation.

    • Ability to learn new software programs and electronic systems as required.

    • Ability to work with confidential and safety-related information.

    • Ability to work effectively within a fast-paced manufacturing environment.
