    Description

    This role requires exceptional organizational discipline and a strong willingness to learn technology workflows. You will manage daily administrative functions necessary to keep technology projects structured, documented, and on schedule. Acting as a key liaison, you will maintain clear tracking systems, follow up on moving pieces, and prepare concise project updates for non-technical partners across the firm.

    Key Responsibilities May Include:

    • Master Executive Support & Scheduling: Manage calendar scheduling, meeting prep, and all necessary correspondence.
    • Proactive Project Tracking: Build and maintain structured project schedules, task lists, and action logs across ongoing IT infrastructure, legal software, and security initiatives.
    • Continuous Skill Development: Eagerly learn firm-specific software platforms, project workflows, and legal IT standards to better anticipate needs and streamline processes.
    • Partner Communication & Reporting: Draft clear, concise status reports regarding technical project progress.
    • Task Follow-Up & Accountability: Actively track deadlines, following up with internal staff, legal teams, and external vendors to ensure deliverables stay on schedule.
    • Documentation & Logistics: Organize project documentation, vendor contracts, user training schedules, and meeting minutes in a central, easily searchable repository.

    Qualifications & Requirements

    • Core Aptitude: Exceptional organizational skills and a drive to take ownership of administrative workflows.
    • Mindset: A strong willingness to learn new systems, adapt to evolving technology, and ask questions to gain subject matter understanding.
    • Experience: 0–2 years in an administrative support role; experience in a professional services environment is a plus.
    • Tech Proficiency: Hands-on experience with Microsoft 365 (Word, Excel, PowerPoint, Teams, Outlook) and task management platforms (e.g., Planner, Asana, Trello).
    • Communication Skills: Clear written and verbal communication skills; ability to summarize information accurately for leadership.
