DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS

The Houston Fire Department is the fourth-largest fire department in the U.S. and promotes excellence as the World's Largest Accredited Municipal Fire Agency. The Human Resource (HR) Command is seeking a proactive and motivated Administrative Aide with positive customer service skills and the ability to service the public in a courteous, professional and helpful manner while assisting to fulfill the daily operations. The Administrative Aide will provide departmental administrative support for all HR Command functional areas which may include receptionist duties, typing, processing, filing, reporting, and other related work/special projects as assigned.

RESPONSIBILITIES:

  • Courteously greets internal and external visitors, answers phones and directs calls

Perform data entry, develop, and prepare appropriate correspondence, documents, and reports

  • Provide operational and administrative support to HR Command Staff and personnel
  • Make copies, scan documents, file, process interoffice and postage mail, and perform other general administrative duties as needed
  • Organizes and maintains statistical data, records, spreadsheets and/or databases, interprets data and prepares complex reports that may be semi-technical in nature
  • Performs other duties as requested

WORKING CONDITIONS

The position is physically comfortable most of the time occasional periods of stooping, bending and/or light lifting of materials.

MINIMUM REQUIREMENTS

MINIMUM EDUCATIONAL REQUIREMENTS

Basic knowledge of grammar, spelling, punctuation and simple mathematical functions as might be normally being acquired through attainment of a High School Diploma or a GED.

MINIMUM EXPERIENCE REQUIREMENTS

Two years of clerical or administrative experience are required.

Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
