Job Description
We are seeking an Executive Assistant to join our team onsite in Spring, Texas. The ideal candidate will have strong experience in executive administration, calendar and travel management, and office operations, and a proven ability to coordinate complex logistics, support senior leaders, and drive follow-up to closure.
Responsibilities:
- Manage complex executive and team calendars across time zones, schedule meetings, and coordinate leadership sessions.
- Prepare agendas, capture minutes, distribute notes, and track action items to closure.
- Monitor deadlines and business commitments and assist leadership with administrative and operational tasks.
- Coordinate domestic and international travel, itineraries, and onsite visit logistics in partnership with site administration.
- Plan and execute team events, offsites, workshops, and engagement activities, including venues, catering, communications, and budgets.
- Support office operations, including team lunches, snack inventory, seating and workspace planning, and new-hire onboarding logistics.
- Manage Purchasing Card transactions, reconcile expenses, and track procurement requests in compliance with policies.
- Research and coordinate purchases of equipment, hardware, and materials for development and QA teams.
- Oversee asset and inventory management, including assignments, lifecycle tracking, recycling, and disposition in partnership with IT and operations.
Required Skills & Qualifications:
- Proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
- Excellent organizational, time-management, and calendar coordination skills.
- Strong written and verbal communication, including meeting minutes and action tracking.
- Experience with travel booking, expense processing, procurement, and P-Card reconciliation.
- Ability to handle confidential and sensitive information with discretion.
- Typically 3+ years in executive administration, office management, or project coordination roles.
- High school diploma or equivalent required. Associate's or Bachelor's degree preferred.
Preferred Skills:
- Experience supporting senior leaders and cross-functional teams in a fast-paced environment.
- Background in asset and inventory management or IT equipment coordination.
