The Opportunity
Integra is seeking a Senior Administrative Assistant to support our sales division through high-level coordination, operational support, and workflow management. This role plays a critical part in ensuring priorities, schedules, communication, and operational activities remain aligned in a fast-paced environment with multiple moving pieces. You will be responsible for managing multiple- calendars and expenses for that team.
The ideal candidate is detail-oriented, highly responsive, and capable of managing complex coordination responsibilities with professionalism and strong follow-through. This individual must be able to balance competing priorities, maintain organization across stakeholders, and proactively support operational execution with minimal oversight.
This role is best suited for someone who thrives in high-volume, fast-moving environments and enjoys creating structure, improving coordination, and reducing operational friction across teams.
What you will do?
Coordinate complex scheduling across multiple leaders, stakeholders, and departments
Manage calendars, meeting logistics, and recurring operational rhythms
Coordinate cross-functional meetings including agendas, materials, follow-ups, and action-item tracking
Manage communication flow including scheduling requests and operational follow-up
Arrange and coordinate travel logistics including flights, hotels, transportation, itineraries, and related documentation
Prepare, process, and track expense reports and related financial documentation
Support event coordination, internal meetings, client visits, and operational logistics
Monitor deadlines, timelines, and open action items to help ensure completion and accountability
Maintain organization across files, systems, shared resources, and operational documentation
Assist with preparation of presentations, reports, meeting materials, and business correspondence
Identify scheduling conflicts, operational gaps, or workflow concerns and escalate appropriately
Support multiple leaders or teams while balancing shifting priorities and business needs
Maintain confidentiality and professionalism while handling sensitive information and communications
Provide dependable operational support that improves efficiency, responsiveness, and coordination across the organization
Required Qualifications
3+ years of administrative, operational support, coordination, or related experience required
Associate’s or Bachelor’s degree preferred
Strong organizational, coordination, and multitasking abilities
Excellent written and verbal communication skills
Strong attention to detail with proven follow-through and execution skills
Ability to manage competing priorities in a fast-paced environment
Strong problem-solving skills and professional judgment
Ability to work independently with minimal oversight while supporting multiple stakeholders
Proficiency in Microsoft 365 including Outlook, Teams, Word, Excel, and PowerPoint
Experience coordinating meetings, travel, calendars, and operational workflows
Strong interpersonal skills and service-oriented mindset
Ability to maintain confidentiality and handle sensitive information with discretion
Experience supporting cross-functional teams or multiple leaders preferred
Comfortable adapting to changing priorities and evolving business needs
