Who we are and what we do:
The Tennessee Administrative Office of the Courts (AOC) serves as a trusted resource to assist in improving the administration of justice and promoting confidence in the judiciary. It is the administrative arm of the State's judicial branch, one of the three fundamental divisions of Tennessee state government. The judicial branch provides an essential check on the legislative and executive branches through judicial review. The AOC supports the Tennessee Supreme Court, intermediate appellate courts, trial courts, and courts of limited jurisdiction by managing programs, resources, and operations that enable the courts to function efficiently.
Job Overview:
Under general supervision, the IT Administrative Specialist provides administrative, clerical, and project coordination support for the AOC's technology division. The role centers on purchase order creation, invoice processing, statistical data entry, and day-to-day support for division staff. The Specialist also acts as a liaison with data submitters to ensure accurate reporting and performs related work as required.
This position is well suited to a highly organized, action-oriented professional who keeps office operations moving, manages competing deadlines with sound judgment, and handles sensitive public records and financial documentation with a high degree of integrity.
Key Responsibilities:
Technology Procurement & Financial Administration: Create and process purchase orders for technology hardware, software, and services; code technology invoices with the proper expenditure codes; and route invoices to the fiscal division for payment while logging them for reporting.
Project Management Coordination: Compile status reports for technology division initiatives and workflows; maintain activity logs and tracking spreadsheets to monitor the status of all data; and collect, edit, summarize, and record the data needed to complete standard technology and statistical reports, ensuring accuracy throughout.
Division Staff Support & General Administration: Provide administrative support to technology division staff, including help with supplies and general clerical tasks; receive, open, categorize, and process division mail and correspondence; perform day-to-day administrative tasks such as maintaining information files and processing paperwork; and store and maintain paper and electronic documents in the appropriate locations.
Data Integrity & Communications: Review and correct data errors in accordance with agency requirements; develop and maintain constructive relationships with stakeholders, government agencies, and other external sources; and destroy records in compliance with agency rules and regulations.

Minimum Qualifications:
Graduation from an accredited high school or equivalent, plus a minimum of three (3) years of administrative or office support experience. An associate or bachelor's degree in business administration, public administration, or a related field is preferred, as is prior experience with procurement, purchasing, or invoice processing. Equivalent combinations of education and experience will be considered.
