Required Qualifications

  • High School Diploma or GED

  • Minimum 2 years of administrative experience

  • Intermediate to advanced Excel skills (VLOOKUP/XLOOKUP, pivot tables, formulas, data cleaning)

  • Experience with Microsoft platforms (Excel, SharePoint, Teams)

  • Strong attention to detail and accuracy when handling data

  • Ability to follow work instructions and processes

  • Strong written and verbal communication

  • Ability to work independently with minimal supervision

  • Previous remote work experience preferred

  • Must have a reliable remote setup with a quiet, dedicated workspace

Job Summary

The Administrative Associate provides administrative and data coordination support for the Calibration team. This role focuses on organizing large datasets, supporting procurement activities, maintaining documentation, and coordinating calibration tracking across multiple locations.

Key Responsibilities

Calibration Data Management

  • Upload and organize calibration data from supplier spreadsheets into the Equipment Manager system.

  • Clean and standardize supplier data to align with internal systems.

  • Support migration of approximately 20,000 data entries across 80–100 locations.

Branch Coordination

  • Work with branch teams to ensure calibration data is completed and validated.

  • Track and follow up on missing or incomplete data.

Procurement Support

  • Create and submit calibration-related purchase order requisitions through Ariba.

  • Manage documentation and follow procurement procedures.

Documentation & Compliance

  • Organize and maintain calibration certificates for accessibility and compliance.

  • Track calibration schedules for load banks and dynamometers.

Administrative Support

  • Gather, verify, and enter information into reports, spreadsheets, and internal systems.

  • Assist with documentation management and departmental procedures.

  • Respond to routine inquiries and support administrative team activities.
