GENERAL SUMMARY: Provide high level administrative support to the AA Associate Provost and Deans. Apply knowledge and skills to resolve complex administrative problems independently, ensuring excellent customer service. Organizes, facilitates, and coordinates all services that support the function of the Dept. DUTIES AND RESPONSIBILITIES: Reporting to Associate Provosts and Deans, the Administrative Assistant provides a full range of administrative duties, including but not limited to: Scheduling and maintaining challenging calendar of appointments, meetings and to ensure that clerical duties are performed while adhering to University policies and procedures. Provide administrative duties which include typing, faxing, phone coverage, copying mail processing, sorting and delivering of documents, routing correspondence, memorandums, envelopes, labels, etc. Proofread all typed material to ensure 100% accuracy before distribution for signature: ensure that appropriate supply levels are maintained, complete and submit order requisition for supplies, receive deliveries of supplies and verify against actual order, provide efficient and quality service to customers while supporting the goal of academic affairs and the University. Organize activities relating to Faculty, Department Chairs and other Academic Affairs\u2019 Unit heads. Prepare documents relating to faculty hires, and other administrative staff. Works with sensitive information and adheres to the strict and confidential nature of this information, their storage, maintenance, and retrieval. Assist in generating monthly, quarterly, mid-year and end of year reports, and other reports as needed. Create and maintain binders, files on policies, procedures and other information. Collaborate with other support staff, departments, and other units on an ongoing basis to ensure that critical information are communicated, deadlines are met, meetings are scheduled, and the Department\u2019s objectives are met. Coordinate communication between the supervisor, and other administrative staff, within and outside the University. Serve as principal source of information for faculty, staff, students and visitors Prioritize and resolve inquiries (phone, e-mail, in- person); plan and coordinate special events as assigned. EDUCATION: Two years postsecondary education with three (3) years of experience, OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/ OR EXPERIENCE. Knowledge, Skills and Abilities (KSAs): Required: Bachelor's degree in accounting, management, finance or business administration Five years of progressively responsible financial experience, preferably in an institution of higher education. Strong background in accounting. Experience interpreting and applying federal, state, and institution fiscal policies, regulations and reporting requirements. Experience in assessment, strategic planning, program development and innovation. Experience evaluating and making improvements in internal controls. Strong skills and team building experience. Proficiency in Microsoft Excel, Word and PowerPoint. Minimum Education Required: Bachelors degree from a regionally accredited college or university. Minimum Education Preferred: Bachelors degree from a regionally accredited college or university. Minimum Experience Required: Over 3 and including 5 years of relevant progressive work experience. Minimum Experience Preferred: Over 3 and including 5 years of relevant progressive work experience.
