Job Title: Executive Administrative Assistant

Location + Work Type: Onsite Jacksonville, FL

Schedule:

  • Full-time
  • Monday Friday, 8:00 AM 5:00 PM
  • 1-hour unpaid lunch

Job Summary:

Seeking an experienced Executive Administrative Assistant to provide high-level support to executive leadership. This role requires exceptional organizational, communication, and multitasking skills while managing calendars, travel, reports, meetings, and special projects in a fast-paced business environment.

Responsibilities:

  • Provide executive administrative support to senior leadership
  • Manage complex calendars, meetings, and scheduling
  • Coordinate travel arrangements, including flights, hotels, and ground transportation
  • Prepare meeting agendas and record meeting minutes
  • Compile executive reports, financial updates, and business summaries
  • Coordinate sales events, customer visits, trade shows, and internal events
  • Produce and distribute daily and weekly business reports
  • Track action items and follow up on deliverables
  • Process expense reports and support administrative projects
  • Maintain files, reports, and other business documentation
  • Perform additional administrative duties as assigned

Required Skills:

  • Associate or Bachelor's degree
  • 3 5 years of executive administrative or office experience
  • Strong Microsoft Office skills (Excel, Word, Outlook)
  • Excellent typing, proofreading, and business writing skills
  • Strong organizational and time management skills
  • Ability to prioritize multiple projects with minimal supervision
  • Strong verbal and written communication skills
  • Attention to detail and problem-solving abilities
  • Ability to adapt to changing priorities
  • English proficiency

Preferred Skills:

  • Previous executive-level support experience
  • Advanced Microsoft Excel skills
  • Experience with Concur and expense reporting
  • Bilingual in Spanish

Tools/Environment:

  • Microsoft Excel, Word, Outlook, PowerPoint, Access, and Project
  • Concur (preferred)
  • Fast-paced executive office environment
  • Up to 5% travel as needed
