The position requires strong organizational, communication, and interpersonal skills and the ability to interact professionally and courteously with a wide variety of individuals.Essential Duties and ResponsibilitiesAnswer and route incoming calls.Maintain files and Inform customers and/or students of departmental Compose and type letters, memoranda and reports.Produce mass mailings and disseminate departmental Maintain databases and spreadsheets.Create spreadsheets to format, present and maintain data.Updates WEB Schedule meetings, reserve rooms, keep the dean's calendar and makes Other Duties and ResponsibilitiesMay perform clerical tasks related to the department's functions (registration, cashiering, etc...)May act as the support person for faculty Fiscal ResponsibilitiesMay keep petty cash.May prepare check requests for Supervisory ResponsibilitiesMay supervise student workers.Knowledge and Skills Required RequiredA minimum of two years of experience as an administrative Proficiency in word-processing and spreadsheets, preferably Microsoft Word and Ability to generate correspondence, format memoranda and produce mass mailings.Knowledge of basic office equipment such as copiers and fax machines.Courteous and pleasant telephone manners.Excellent communication skills, spelling and grammar.Ability to interact with a wide variety of individuals in a professional and courteous manner.Core CompetenciesThe successful candidate should demonstrate:Organization and attention to detail: Ability to maintain accurate files, records, databases, calendars, and spreadsheets.Communication: Ability to communicate clearly and professionally, both verbally and in writing.Customer service: Ability to provide courteous, responsive, and professional assistance to customers and/or students.Technology: Ability to use word-processing, spreadsheet, database, email, calendar, and standard office equipment effectively.Confidentiality and discretion: Ability to handle departmental information and records appropriately.Teamwork: Ability to work effectively with faculty, staff, students, and other University colleagues.Adaptability: Ability to manage multiple administrative responsibilities and respond to changing departmental needs.Work Environment and ScheduleThis is an administrative and service-oriented position within a University Office. The Administrative Assistant II works with faculty, staff, students, customers, and other University community members and is expected to provide professional and courteous assistance while supporting the daily operations of the department. The position may require the ability to manage multiple priorities, meet deadlines, respond to time-sensitive requests, and provide consistent administrative support to the department and its faculty and staff. This is a student-facing position that follows the University's standard working hours requirements. Regular availability and presence during established office hours are essential to providing reliable support to students, faculty, and campus partners. Employees receive vacation time for rest, recuperation, and personal matters.
