Job Description:
Our client is seeking a highly organized and detail-oriented Administrative Assistant to support our Houston office. The Administrative Assistant provides comprehensive administrative and clerical support to ensure the efficient operation of the office. This role supports managers, teams, and departments by handling routine office tasks, coordinating schedules, maintaining records, and facilitating effective communication. The ideal candidate is organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide administrative support to management, engineering teams, and project personnel.
- Welcome and escort visitors and guests while maintaining an accurate and up-to-date visitor sign-in log.
- Coordinate and arrange lunch catering services for company meetings, training sessions, and special events.
- Serve as the primary coordinator for vendor lunch-and-learn events, ensuring seamless scheduling, catering logistics, attendance documentation, and reporting.
- Track office supplies and place orders as needed.
- Maintain up to date Distribution List and Office Directory.
- Report facility maintenance issues to Building Management.
- Support onboarding activities and administrative processes for new employees.
- Assist with special projects and other duties as assigned.
- Provide administrative support to management and team members.
- Handle confidential information with discretion and professionalism.
- Perform other administrative duties as assigned.
Required Qualifications
- High school diploma or GED required; Associate's degree preferred.
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong verbal and written communication skills.
- Excellent organizational and time-management abilities.
- Preferred Qualifications
- Previous experience supporting engineering, construction, or technical project teams.
- Experience with document management systems and project documentation.
- Knowledge of office purchasing and expense reporting processes.
- Experience working in a corporate or professional services environment.
Physical Requirements
Ability to sit, stand, and work at a computer for extended periods.
