Title: Administrative Assistant
Job Family: Administrative Support
Supports the Learning & Talent Leadership Team through executive administration, business operations, organizational planning, data reporting, leadership communications, and coordination of strategic initiatives.
Responsibilities for this position may include but are not limited to:
- Provides strategic executive support to the Learning & Talent Leadership Team, including calendar management, meeting coordination, travel planning, and leadership communications.
- Supports organizational effectiveness through workforce planning, leadership transitions, space planning, and change management activities.
- Coordinates leadership meetings, town halls, employee engagement initiatives, learning events, and special projects.
- Develop presentations, reports, dashboards, and executive communications to support strategic decision-making.
- Manages SharePoint sites, distribution lists, organizational data, and knowledge management resources.
- Supports budget administration, vendor management, purchase orders, invoices, accruals, and expense reconciliation.
- Partners with Human Resources, Finance, Communications, Real Estate, Facilities, and other stakeholders to execute business priorities.
- Establishes and improves processes, tools, and operational practices that enhance organizational efficiency and employee experience.
- Handles highly confidential business and personnel information with professionalism, discretion, and sound judgment.
Required Qualifications:
- High School Diploma or equivalent required; Associate's or Bachelor's degree preferred.
- 8+ years of administrative, business operations, project coordination, or executive support experience.
- Demonstrated experience supporting senior leaders and managing multiple priorities in a fast-paced environment.
- Advanced proficiency in Microsoft 365 applications, including Outlook, Excel, PowerPoint, Teams, SharePoint, and related collaboration tools.
- Strong organizational, project coordination, and stakeholder management skills.
- Excellent written and verbal communication skills.
- Ability to analyze information, exercise sound judgment, and handle highly confidential matters with discretion.
- Proven ability to prioritize competing demands, meet deadlines, and deliver high-quality results with minimal supervision.
Preferred Qualifications:
- Experience supporting senior leadership teams within Human Resources, Talent, Learning, or other corporate functions.
- Experience with SharePoint administration, Power BI reporting, and process improvement initiatives.
- Experience planning and executing leadership meetings, employee engagement activities, and large-scale events.
