About the Role
We are seeking a dependable, detail-oriented Part-Time Administrative Assistant to provide hands-on office and administrative support at our Gainesville headquarters. This role is ideal for someone who enjoys organization, takes initiative, and has a service-minded approach to helping an office run smoothly.
This position will support general office needs, meeting preparation, light administrative tasks, and practical day-to-day support for company leadership and team members. The right person will be reliable, proactive, professional, and willing to jump in where needed.
Schedule: Part-time, in-office at our Gainesville headquarters. Primarily morning hours preferred. Potential for additional hours or future full-time opportunity based on company needs and role fit.
What You'll Do
Office & Administrative Support
- Help keep the office organized, stocked, clean, and prepared for the day.
- Assist with general office needs, including supplies, mail, deliveries, filing, scanning, printing, and errands.
- Provide general administrative support to team members and departments as needed.
Leadership & Meeting Support
- Provide practical day-to-day support for company leadership, including lunch coordination, meeting preparation, and general office-based needs.
- Prepare meeting spaces by ensuring rooms are clean, organized, stocked, and ready for use.
- Print, organize, or prepare meeting materials, agendas, notes, and other documents as needed.
- Assist with internal meetings, team lunches, office events, celebrations, and other company gatherings.
Light Accounting & Operations Support
- Assist with basic administrative support for accounting, payroll, and operations teams as needed.
- Help collect, scan, organize, and route documents such as timesheets, reimbursements, invoices, vendor paperwork, or project-related items.
- Support basic tracking, data entry, document organization, and follow-up tasks.
- Help ensure routine administrative items are handled accurately and in a timely manner.
Qualifications
- Reliable, punctual, and able to work independently.
- Organized, detail-oriented, and consistent with follow-through.
- Friendly, professional, and service-minded.
- Comfortable handling a variety of tasks and shifting priorities.
- Willing to assist with both administrative work and hands-on office support.
- Able to handle confidential information appropriately.
- Proficient with basic technology, including Microsoft Outlook, Word, Excel, and general office equipment.
- Valid Florida driver’s license and reliable transportation for occasional local errands.
Preferred Experience
- Prior experience in an administrative assistant, office coordinator, receptionist, operations support, or similar role.
- Experience supporting an office, leadership team, accounting department, or operations team.
- Comfort using email, calendars, shared files, and basic business systems.
- Experience helping coordinate supplies, meetings, events, vendors, or office logistics.
