Description

LHH Recruitment Solutions is partnering with a respected professional services organization seeking an experienced Administrative Assistant to support a busy Tax department. This role is ideal for a highly organized administrative professional who thrives in a fast-paced, deadline-driven environment and enjoys supporting multiple teams, projects, and client-facing initiatives.

The ideal candidate brings strong communication skills, exceptional attention to detail, advanced Microsoft Office proficiency, and the ability to manage confidential information with professionalism and discretion.

Responsibilities

  • Provide administrative support to the Tax department and other office teams as needed

  • Manage and respond to administrative support requests through internal ticketing systems

  • Assist national, regional, and local teams with various administrative functions

  • Support tax administration processes, including electronic filing coordination

  • Coordinate large-scale meetings, trainings, and conferences

  • Manage calendars, meeting invitations, conference room reservations, and event logistics

  • Arrange catering, meeting materials, and room setup for internal and external meetings

  • Assist with employee onboarding and offboarding activities

  • Support expense reporting and reimbursement processes

  • Help establish and maintain client records and account information

  • Assist with billing support, client documentation, and database maintenance

  • Prepare professional business correspondence, presentations, reports, memoranda, and confidential documents

  • Maintain electronic and physical records with a high degree of accuracy

  • Collaborate with leadership and administrative teams on special projects and office initiatives

  • Provide additional administrative support and project assistance as assigned

Requirements

Education

  • High School Diploma, GED, or equivalent required

  • Bachelor's degree preferred

Experience

  • Minimum of 3 years of administrative support experience required

  • Experience within a professional services, consulting, legal, accounting, financial services, or corporate environment preferred

  • Experience supporting multiple stakeholders and deadlines simultaneously preferred

Technical Skills

  • Advanced proficiency with Microsoft Office Suite, including:

  • Outlook

  • Word

  • Excel

  • PowerPoint

  • Experience with Oracle Financials or similar ERP systems is a plus

Qualifications

  • Strong organizational and time-management skills

  • Ability to manage multiple priorities in a deadline-driven environment

  • Excellent written and verbal communication skills

  • Exceptional grammar, spelling, and proofreading abilities

  • Strong customer service and relationship-building skills

  • High level of professionalism, diplomacy, and sound judgment

  • Ability to handle sensitive and confidential information

  • Detail-oriented with strong follow-through and accuracy

  • Process improvement mindset with the ability to identify efficiencies

  • Collaborative team player willing to assist across departments when needed

Job Information

Employment Type: Temp-to-Hire

Job-Site Location: San Francisco, CA (Fully Onsite)

Pay Range: $29.00 - $33.00 per hour

Schedule: Monday through Friday, Full-Time (40 hours per week)

Pay Details: $30.00 to $33.00 per hour
