Job Description

We are searching for an Admin Assistant to join our culinary team! The Admin Assistant is responsible for assisting the F&B Director with the planning, organizing, directing, coordinating, and execution of all department activities.

$19.50 per hour.

Preferred:

1 year of senior living experience

General Summary

The Admin Assistant facilitates the efficient operation of the Food & Beverage department by performing a variety of clerical, administrative, and direct service tasks.

Principal Duties

  • In the absence of the Director of Food & Beverage, supervises the dining venues
  • Assists the Director of Food & Beverage with staffing, scheduling, training of staff
  • Responds to and resolves administrative inquiries and questions.
  • Manages the point-of-sale (POS) systems with activities including but not limited to meal counts, reservations, and sales
  • Participates in cost control measures and inventories.
  • Tracks and processes accounts payable for the department
  • Submits company purchase card reconciliations
  • Ensures compliance with regulatory requirements for various programs including but not limited to the social club
  • Drafts communication for department and distributes accordingly
  • Prepares agendas and written summaries, schedules meetings. Maintains records and filing systems
  • Coordinates and plans events for the department while working with other key personnel in other departments (i.e. Marketing, Dining Services, etc.).
  • Performs other duties as assigned.

Qualifications

  • High school diploma or equivalent. A minimum of two years supervisory or supportive experience within fine dining restaurants, clubs, hotels, or similar industries.
  • Proven ability with computer and communication skills. Must have knowledge of Microsoft Office Suite products.
  • Ability to demonstrate strong leadership skills. Ability to make quick decisions in high stress situations. Well organized.
  • Ability to work flexible schedule including weekends and holidays.
  • Excellent customer services skills. Ability to communicate with, understand, empathize with, work with, and be tolerant of residents, families, visitors, peers, supervisors, and subordinates.

Physical Requirements/Working Conditions

Must be able to stand and walk 90% of the work day; ability to stoop, stand, and stretch frequently. Position may require sitting for prolonged periods of time working on a computer. Must be able to lift 50 pounds frequently. Must be able to see, hear, and speak. Must be able to read, write, and communicate in English.
