Job Functions & Responsibilities: Greet and welcome visitors politely and professionally Check visitors in/out using the eWelcome system and give them badges Mail badges to new hires or remote employees, and send weekly badge reports to Security Receive deliveries and notify the right person Answer, screen, and direct phone calls Keep visitor logs and issue passes when needed Handle incoming and outgoing mail and deliveries Do basic office tasks like filing, data entry, and preparing documents Track office supplies and order more when needed Provide general support to staff and management Keep the reception area tidy and presentable Sort and scan mail, send to offsite employees, and create FedEx labels when required Assist with meetings (order food, make reservations for guests/employees) Update the employee email distribution list Check conference rooms daily to avoid double bookings Report facility issues using the ticket system Skills: High school diploma or equivalent (Associate degree is a plus) Proven experience as a receptionist, front desk representative, or similar role Proficiency in Microsoft Office (Word, Excel, Outlook) Excellent verbal and written communication skills Strong organizational and multitasking abilities Professional appearance and attitude Ability to handle sensitive information with confidentiality Strong customer service skills Preferred Qualifications Experience with multi-line phone systems Familiarity with scheduling software Multilingual abilities Work Environment Professional Office-based position.
