Position Overview

UT Health is seeking an experienced Administrative Assistant - Senior to provide advanced administrative and operational support to a department or team of professionals. This position is responsible for managing complex administrative functions, coordinating schedules and meetings, preparing reports and presentations, supporting departmental fiscal activities, and ensuring efficient day-to-day office operations. The ideal candidate will have strong organizational skills, excellent communication abilities, and the ability to handle confidential information with professionalism and discretion.

Key Responsibilities

  • Provide advanced administrative and clerical support including correspondence, filing, scanning, copying, mailing, and document management.
  • Prepare complex reports, presentations, spreadsheets, and business correspondence.
  • Answer and route incoming calls while responding to internal and external inquiries.
  • Manage calendars, schedule meetings, coordinate appointments, and arrange travel as needed.
  • Maintain office supplies and coordinate departmental administrative needs.
  • Assist with departmental operational and fiscal activities.
  • Collect, compile, analyze, and maintain departmental data and records.
  • Support daily office operations and administrative processes.
  • Maintain confidentiality of sensitive information and records.
  • Perform additional administrative duties as assigned.

Required Qualifications

  • High School Diploma or GED required.
  • Minimum 7 years of administrative support experience.
  • Strong knowledge of office administration and administrative procedures.
  • Proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong organizational, multitasking, and time management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience preparing reports, presentations, and business correspondence.

Preferred Qualifications

  • Experience supporting executives, department leaders, or healthcare professionals.
  • Experience assisting with departmental budgeting or fiscal activities.
  • Advanced reporting and spreadsheet experience.
  • Previous experience mentoring or training administrative staff.
