LHH is actively seeking an Administrative Assistant for one of our top clients in Florida! This will be a contract to perm opportunity with our client and will report onsite to their office in Ft. Lauderdale.

Administrative Support - Tax Services

Position Summary

The Administrative Support professional provides high-level administrative and operational support to Florida-based Principals, Managing Directors, and Senior Managers. This role is responsible for coordinating tax processing activities, engagement documentation, new client and project setup, billing, and other administrative functions while maintaining a high level of accuracy, confidentiality, and professionalism.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities in a deadline-driven professional services environment.

Key Responsibilities

  • Coordinate tax processing activities, including assembly, delivery, e-signature, and monitoring of tax deliverables.

  • Monitor processing, delivery, and pool activities within the BDO tax tracking systems (BTU/UserVerse).

  • Prepare, draft, and process engagement letters and successor documents.

  • Coordinate new client onboarding, including contract and project setup.

  • Process billing activities as instructed.

  • Provide comprehensive administrative support to Florida Principals, Managing Directors, and Senior Managers.

  • Manage calendars, correspondence, documents, and other administrative activities as needed.

  • Respond to ad hoc requests and provide additional office and administrative support as required.

  • Maintain accurate records and ensure timely completion of assigned tasks.

  • Handle confidential and sensitive information with discretion and professionalism.

Qualifications

Education

  • High school diploma, GED, or equivalent required.

  • Bachelor's degree preferred.

Experience

  • Four (4) or more years of administrative experience required.

  • Experience working in a professional services or professional business environment preferred.

Technical Skills

  • Advanced proficiency in Microsoft Office Suite required.

  • Experience working with an ERP system preferred.

  • Ability to learn and effectively use firm-specific systems and technology.

Knowledge, Skills & Abilities

  • Ability to provide full-time, on-site support when required based on location and office needs.

  • Strong organizational and time-management skills, with the ability to prioritize competing responsibilities effectively.

  • Ability to work independently with minimal supervision while exercising sound judgment.

  • Ability to manage multiple projects and deadlines while maintaining a high level of accuracy and attention to detail.

  • Excellent written and verbal communication skills, including strong grammar, spelling, and punctuation.

  • Professional presence and the ability to effectively interact with senior leadership, clients, vendors, and other external contacts.

  • Strong customer service skills and a commitment to providing responsive, professional support.

  • Demonstrated discretion, diplomacy, and sound judgment when handling sensitive or challenging situations.

  • Ability to identify opportunities for process improvement and help implement more efficient practices across the office or firm.

  • Excellent attention to detail and the ability to effectively manage multiple priorities.

  • Strong conflict-resolution skills and the ability to address challenging matters with tact and professionalism.

  • Ability to manage highly confidential and sensitive information with discretion.

  • Ability to build and maintain effective working relationships with management, clients, vendors, prospects, and colleagues.

  • Collaborative team player with a willingness to assist others and contribute wherever needed.

Pay Details: $30.00 to $32.50 per hour
