Summary

Research Administration Specialist III

We are seeking a Research Administration Specialist III to join the Discovery Science Division, which includes the research departments of Immunology, Metabolism & Physiology, Tumor Microenvironment and Metastasis, Drug Discovery, Molecular Oncology, and Bioengineering.

Position Highlights:

The Research Administration Specialist III, works under limited supervision and is responsible for delivering a range of administrative specialist support services. Key responsibilities include overseeing day-to-day administrative operations, including assisting with grant proposals, administrative duties related to department chairs, department leaders, and department program activities within the division. The position is additionally expected to resolve and complete complex administrative tasks, and oversee projects as assigned. This position is the third level in the Research Administration career path and is vital for ensuring the efficient operation of the division and maintaining a professional work environment.

The Ideal Candidate

A highly capable administrative professional with experience in a healthcare, research and/or academic setting, who can work independently, manage competing priorities, and support the smooth operation of the division.

The ideal candidate communicates clearly, builds strong working relationships, exercises sound judgment, and brings a proactive, solutions-oriented approach to complex tasks and projects.

Key Responsibilities:

  • Requires advanced understanding of grant submission process, including biosketch and other support documents, and ability to interpret sponsor funding announcements and guidelines
  • Coordinates with Office of Sponsored Research (OSR) and Research Finance (RF) to facilitate timely award activation
  • Assists with budget preparation and justifications and monitors grant timelines to identify and resolve issues
  • Performs financial analysis on PI portfolio accounts to support fiscally responsible budget utilization
  • Compiles full grant submissions and supports research faculty recruitment and onboarding
  • Provides guidance, coaching, and mentoring to less experienced team members and supports onboarding and training
  • Maintains departmental administrative operations and ensures workflows align with established procedures
  • Exercises independent judgment to manage competing priorities and resolve complex administrative tasks
  • Manages calendars, travel arrangements, and correspondence for department leadership
  • Coordinates meetings, events, and department activities
  • Collaborates with internal and external stakeholders and provides clear communication and updates

Credentials and Qualifications

  • High School Diploma/GED and nine (9) years of administrative support experience in an office setting, inclusive of 2 years' experience assisting in grant submission, grant management, contract software and processes and/or research faculty recruitment and onboarding is required.

Preferred Education

  • Associate's Degree and 7 years administrative support experience in an office setting

  • Bachelor's Degree and 5 years administrative support experience in an office setting

  • Advanced knowledge and understanding of Symplr Contracts software and intermediate understanding of contract processes (for use with material transfer agreements (MTAs), non-disclosure agreements (NDAs), vendors and other frequent contract submissions).

Minimum Skills/Specialized Training Required

  • Advanced understanding of grant submission support, including sponsor guidelines, biosketches, and related documentation.
  • Working knowledge of contract software and contract approval workflows.
  • Strong organizational skills with the ability to coordinate multiple administrative activities and deadlines.
  • Ability to support departmental leadership with calendars, travel, meetings, and correspondence.
  • Skill in monitoring processes, identifying issues, and helping maintain efficient administrative workflows.
  • Ability to provide guidance and day-to-day support to less experienced team members.
  • Proficiency in maintaining professionalism and accuracy while handling a high volume of detailed work.
