Temporary Administrative Assistant to provide administrative support to two Vice Presidents and several Directors. This role requires a proactive individual with exceptional organizational skills, the ability to manage multiple priorities, and a high level of professionalism when handling confidential information. The ideal candidate will be detail-oriented, resourceful, and capable of working independently while supporting a fast-paced executive team.
Key Responsibilities- Provide comprehensive administrative support to two Vice Presidents and multiple Directors, ensuring efficient day-to-day operations.
- Manage complex calendars by scheduling meetings, coordinating appointments, and resolving scheduling conflicts.
- Coordinate internal and external meetings, including conference room reservations, virtual meeting setup, agendas, and meeting logistics.
- Prepare, edit, and format correspondence, reports, presentations, spreadsheets, and other business documents.
- Maintain organized electronic and physical filing systems while ensuring the confidentiality of sensitive business information.
- Coordinate travel arrangements, including flights, hotels, ground transportation, and itinerary preparation, as needed.
- Process expense reports and assist with purchase requisitions, invoices, or other administrative documentation.
- Monitor and prioritize incoming emails, mail, and requests, ensuring timely follow-up and communication.
- Serve as a liaison between executives, internal departments, and external vendors or business partners.
- Assist with special projects, event coordination, and departmental initiatives as assigned.
- Order office supplies and support general office operations to ensure an organized and efficient work environment.
- Perform general administrative duties including copying, scanning, filing, document preparation, and data entry.
Qualifications- 3+ years of administrative or executive support experience, preferably supporting senior leadership.
- Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication skills with a professional demeanor.
- Ability to exercise discretion and maintain confidentiality when handling sensitive information.
- Highly detail-oriented with excellent problem-solving and follow-through skills.
- Ability to work independently while effectively managing competing priorities in a fast-paced environment.
Preferred Qualifications- Experience supporting executive-level leadership within a corporate environment.
- Experience coordinating meetings, travel arrangements, and executive calendars.
- Familiarity with expense reporting systems and document management software is a plus.
