Summary
The Office Administrator supports the daily operations of the office by ensuring a well-organized, efficient, and fully functional workplace. This role oversees office supplies, facilities coordination, mail services, and travel logistics, while also providing general administrative support across departments. The ideal candidate is proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
• Manage the procurement, receipt, inventory, and distribution of office and breakroom supplies while monitoring stock levels across multiple departments.
• Maintain clean, organized, and fully stocked common areas, including conference rooms, kitchens, and breakrooms, to ensure a professional workplace environment.
• Coordinate and oversee janitorial and housekeeping services, ensuring cleanliness and facility standards are consistently maintained.
• Monitor and replenish office, warehouse, and production area supplies, including water, janitorial, and general-use inventory.
• Troubleshoot basic office equipment and technology issues, including printers, conference room systems, and connectivity, when IT support is unavailable.
• Maintain office equipment inventory, service records, and preventive maintenance schedules while coordinating repairs with vendors.
• Oversee front desk operations by greeting visitors, managing inquiries, and delivering a professional and welcoming first impression.
• Process incoming and outgoing mail and packages, including sorting, distribution, shipping, and courier coordination.
• Manage the company mailbox and ensure timely distribution of correspondence and important communications.
• Support accounting and administrative operations by processing invoices, coordinating bill payments, creating purchase orders, and managing vendor relationships.
• Coordinate domestic and international business travel, including flights, accommodations, ground transportation, and guest housing arrangements.
• Organize visitor logistics, including airport transportation, facility access, and on-site accommodations.
• Plan and execute employee engagement initiatives, including monthly celebrations, company events, and workplace recognition programs.
• Foster a positive workplace culture by maintaining an organized, welcoming, and employee-focused office environment.
Basic Qualifications
• Ability to work in a manufacturing or production environment.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Proactive problem-solving with attention to detail.
• Basic troubleshooting skills for office equipment and technology.
• Proficiency in Microsoft Office or similar tools.
Preferred Qualifications
• Associate’s degree or higher preferred.
• Experience managing multiple administrative functions in a fast-paced environment preferred.
Education and Experience
• High school diploma or equivalent required.
