Addison Group is partnering with our client, a property management organization in the Nashville area, to hire a Front Desk Administrative Assistant.
Job Description:
Our client is seeking a friendly and organized Front Desk Administrative Assistant to manage reception responsibilities and assist with administrative coordination. The ideal candidate is looking for long term growth into a Recruiting Coordinator/HR Assistant role.
Key Responsibilities:
• Welcome visitors, clients, and guests upon arrival and ensure they have a professional and positive first experience in the office.
• Guide visitors to the appropriate department, employee, or meeting location within the building.
• Assist customers with locating account information and navigating online resources such as the company website or client portal.
• Manage all incoming and outgoing mail and packages, ensuring timely and accurate distribution.
• Help investigate and follow up on minor customer account questions or administrative issues, documenting updates within internal systems.
• Follow established reception procedures to maintain office security and ensure proper visitor check-in protocols.
• Answer and route incoming phone calls while providing helpful and accurate information to callers including homeowners, attorneys, real estate professionals, and other stakeholders.
• Keep the reception area and front office workspace organized, presentable, and welcoming for guests.
• Coordinate meeting room scheduling and maintain accurate reservations for conference spaces within the office.
• Participate in team meetings, training sessions, and departmental updates as required.
• Support additional administrative tasks and projects as needed.
Qualifications:
• Prior experience in a receptionist, front desk, or administrative support role required.
• Prior experience in HR or recruiting strongly preferred.
• Excellent communication skills, both verbal and written.
• Strong attention to detail and ability to stay organized while managing multiple responsibilities.
• Comfortable answering phones and assisting a variety of internal and external contacts.
• Basic proficiency in Microsoft Office applications such as Outlook, Word, and Excel.
• Ability to maintain confidentiality and professionalism in a corporate office setting.
Additional Details:
• Full-time, onsite position in Nashville, TN.
• Monday through Friday, 7:30a-4:00p.
