This position is located at MCAS MIRAMAR. Candidates selected for this position will serve as a FAMILY CARE ADMINISTRATIVE SPECIALIST.

Major Duties

Under the direction of the Family Care Branch Head, coordinates and provides a wide variety administrative support to the Family Care Branch. Performs a variety of administrative duties requiring a substantial level of judgment, experience and discretion. Handle matters and situations of a confidential and sensitive nature with tact and diplomacy. Provides administrative support such as;

  • Provide administrative and clerical support to Family care Branch staff, including but not limited to prepare PowerPoint presentations, printing/assembling training materials and handouts, coordinating session rooms, and reconfirming class or meeting attendance.
  • Drafts, reviews and edits section correspondence for proper format, conformance to procedure, spelling, grammar, directives and typographical accuracy.
  • Supports required data collection
  • Prepares reports and maintains data collection systems and forms
  • Creates and maintains databases
  • Makes arrangements for meetings including space, time and child care.
  • Prepares detailed or summary reports for meetings.
  • Provide customers with information on and assistance with Family Care Branch programs.
  • Establish the organizational flow of the processes, and provide status updates on program projects and program operations.
  • Develops internal policies, procedures and work methods affecting administrative management operations.
  • Collects, compiles and organizes information and data to meet administrative requirements.
  • Reviews and interprets directives and regulations.
  • Advises staff on development and implementation of local administrative directives and procedures.
  • Maintains official files.
  • Ensures compliance by managers and supervisors by reviewing and revising studies, reports, and correspondence for accuracy and format.
  • Prepares correspondence and drafts instructions.
  • Proactivity looks for operational efficiencies, and facilitates methods for automating reports and correspondence.
  • Creates and complies information to generate reports, databases, spreadsheets, graphics, slide shows, and presentations.
  • Manipulates data to meet presentation and report requirements.
  • Enforces and trains employees on proper naval correspondence rules and correct grammar, spelling, capitalization and punctuation.
  • Receives telephone callers, visitors, complaints and directs them to appropriate contacts when necessary. Receives and delivers messages to staff members.
  • Maintains several shared mail box calendars, such as the conference room or program calendars.
  • Routes incoming mail to staff and work sections.
  • Establishes suspense dates to collect responses and submits information as required by requests.
  • Serve as the Information System Coordinator (ISC) for the Family Care Branch¿s computer equipment, copier, printers, Global Address List (GAL) profile updates, assets and data ports.
  • Provides support for these items or liaisons with appropriate department or business to troubleshoot.
  • May perform support functions such as;
  • Gathering statistical data
  • Monitoring and reporting on support budgets
  • Assisting in developing financial plans and obligating funds
  • Orders and maintains stock of office supplies
  • Recording and distributing meeting minutes
  • May serve on a variety of advisory committees.
  • Serves as a safety officer and facility POC for building, ensuring policies are followed and issues are reported. Initiates work orders as needed.

Incumbent will handle sensitive information that is proprietary, privileged, confidential or otherwise legally exempt from disclosure. Safeguards sensitive information and prevents unauthorized reading, printing, retaining, copying or dissemination of information, messages, or correspondence in accordance with rules and regulations such as those covered by the Privacy Act, 5 USC 552(a), Health Insurance Portability and Accountability Act, Public Law 104-191, and DoD Directive 6025.18. Notifies the higher level supervisor and senders immediately when proprietary information has been released and advises on how to properly recover, and/or protect information.

Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.

Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required.

Qualifications

Three years experience that demonstrates broad knowledge of administrative practices and principles.

Verifiable experiencing in performing a variety of clerical duties such as typing, filing, record keeping, preparing documents.

Skill to organize and coordinate multiple high visibility projects simultaneously.

Experience in preparing documentation and presentations in proper format in accordance with naval correspondence rules of grammar and punctuation is preferred

Skill to operate a personal computer, and associated peripheral equipment and software. Must have working knowledge of Microsoft Word, Excel, Outlook and PowerPoint. Strong experience with Microsoft Excel and creating and maintaining databases is preferred.

Knowledge of a variety of support functions such as: handling sensitive information that is proprietary, privileged, confidential or otherwise legally exempt from disclosure, gathering statistical data, monitoring and reporting on support budgets, assisting in developing financial plans; obligating funds, liquidating travel claims; maintaining stock of office supplies.

Must have excellent oral and written communications skills.

Must have ability to deal with issues associated with military lifestyle and a willingness to learn.

Must be able to accommodate a flexible work schedule to include some weekend and evening family briefs/programs.

Skill to deal with employees at various levels in the organization and to represent the branch or division with customers external to the organization.
