    Executive Assistant 

     

    FUNCTION:

    The Executive Assistant serves as a trusted partner to the President of Bealls, Inc. and two Senior Vice Presidents, providing high-level administrative, calendar, communication, travel, meeting, and project support. This position requires exceptional organization, judgment, discretion, and a proactive approach to managing priorities and supporting executive operations.

     

    INTERACTION:

    Reports directly to the President of Bealls Inc. and serves as a key liaison for executive leadership.

    Partners closely with executive leaders and cross-functional teams including Merchandising, Store Operations, Finance, People Department, Legal & Compliance, Information Technology, Marketing, Logistics, and Corporate Services.

    Regularlyinteractswith Board members, senior leaders, vendors, community partners, associates, and external stakeholders while maintaining professionalism, discretion, and confidentiality.

     

    SUMMARY OF DUTIES AND RESPONSIBILITIES [ESSENTIAL FUNCTIONS]

    Executive Support & Calendar Management

    • Manage complex executive calendars, appointments, travel schedules, andshiftingbusiness priorities with a high degree of organization and judgment.

    • Coordinate meetings, leadership sessions, board meetings, and special events while resolving scheduling conflicts proactively.

    • Prepare meeting materials, presentations, briefing documents, and follow-up communications.

     

    Strategic Coordination & Communication

    • Represent the President’s office professionally in communications with internal and external partners.

    • Draft and edit executive communications, reports, presentations, and correspondence.

    • Coordinate executive priorities across multiple functions and ensure effective follow-through oncommitments.

    • Support special projects and strategic initiatives by gathering information, tracking progress, and coordinating stakeholders.

     

    Meetings, Events & Travel

    • Coordinate executive travel arrangements including itineraries, accommodations, transportation, and related details.

    • Plan and support leadership meetings, company events, off-site meetings, and special functions.

    • Partner with Corporate Services and business teams to coordinate meeting logistics, catering, guest accommodations, conference facilities, and event execution.

     

    Administrative & Business Operations

    • Processexecutive expenses, purchasing card reconciliations, invoices, and related documentation.

    • Coordinate reports, presentations, metrics, and business updates.

    • Maintain confidential records and support budget tracking, office administration, and departmental coordination.

    • Other duties as assigned.

     

    QUALIFICATIONS

    Required

    • 5+ years supporting executives, senior leaders, or related business functions.

    • Exceptional organizational, prioritization, and time management skills. 

    • Strong verbal and written communication skills. 

    • Advanced proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint, Teams, and OneNote. 

    • Demonstrates discretion and professionalism in managing confidential information.

    • Strong attention to detail with the ability to manage multiple priorities, deadlines, and shifting needs simultaneously. 

    • Proven ability to build relationships and work effectively across all levels of the organization.

    • Proficiency usingAI poweredproductivity tools and technology to enhance efficiency, communication, organization, and support business objectives.

    Preferred

    • Bachelor's degree or equivalent combination of education and experience. 

    • Experience supporting C-suite executives or senior leadership teams. 

    • Experience coordinating executive meetings, events, and travel. 

    • Experience exercising independent judgment in a highly confidential executive office environment.

    • Retail, consumer products, or multi-location business experience.
