We are seeking a dependable, highly organized Construction Office Manager / Office Administrator to support day-to-day office operations and help keep construction projects, billing records, and administrative processes organized.
This role is ideal for an experienced administrative professional who is comfortable working with contracts, purchase orders, invoices, job expenses, receipts, and labor-hour tracking. The successful candidate will work closely with company leadership and serve as an important point of contact for employees, customers, vendors, and project-related communications.
The position offers flexibility based on experience. A candidate with strong construction-office knowledge may take on broader responsibility, while someone with solid administrative skills and the ability to learn may receive additional training.
Position Overview
As the Construction Office Manager / Office Administrator, you will manage essential office functions, prepare project and billing documents, maintain accurate records, and support communication between the office, field teams, customers, and vendors.
This position requires strong attention to detail, professionalism, organization, and the ability to manage several priorities at once. Construction-industry experience is helpful, particularly for candidates familiar with project documentation, job-cost tracking, or contractor billing processes.
Key Responsibilities
Construction Administration
- Create and generate customer contracts
- Prepare purchase orders for materials, vendors, and project-related needs
- Create and process invoices
- Maintain organized project, customer, vendor, and office records
- Assist leadership with construction-related administrative tasks
- Help maintain consistent office procedures and documentation
- Support the organization of active and completed job files
Job Expense and Billing Support
- Track job-related expenses
- Organize and record receipts
- Track employee and field labor hours for billing purposes
- Collect supporting documentation needed for customer invoices
- Help ensure billing information is complete, accurate, and properly organized
- Assist with administrative tracking related to project costs and business operations
- Work closely with leadership and bookkeeping functions as needed
Phone and Communication Support
- Answer incoming office phone calls professionally
- Return calls and follow up on messages
- Respond to customer, vendor, and employee emails
- Serve as a central point of contact for office-related communications
- Direct questions and requests to the appropriate person
- Maintain a responsive and professional office presence
General Office Management
- Manage daily office operations and administrative activities
- Maintain organized digital and physical files
- Coordinate office supplies, equipment, and vendor needs
- Assist with scheduling, appointments, and internal coordination
- Support leadership with special projects and administrative assignments
- Help improve office organization, workflows, and recordkeeping
- Handle sensitive company, employee, and customer information with discretion

Compensation
Salary range: $50,000-$70,000 per year, commensurate with experience.
Compensation will be determined based on the candidate's administrative background, construction-industry knowledge, technical ability, and the amount of training required.
Candidates with significant construction-office, billing, or operational experience may qualify toward the higher end of the range. Candidates with strong general administrative experience and the ability to learn may be considered at a level appropriate to their qualifications.
