Job Summary:

Provides administrative, secretarial, and office coordination support for assigned staff in the division of Rheumatology. Handles a range of responsibilities, including confidential communications, complex document preparation, office workflow coordination, and patient referral processing. May also assist with special projects and support overall office operations.

CLERICAL PRACTICE

  • Primary responsibilities will be managing new patient infusion referrals, scheduling, notifying the referring provider and patient of the appointment, verify there is an authorization for treatment in place
  • Perform secretarial duties for assigned staff, including handling confidential information and preparing reports, presentations, and correspondence that require creating and revising complex documents
  • Manage insurance authorization referrals for office visits. Verify there is an active authorization, request updated authorization before expiration, create referrals in EPIC, document the authorization number and dates, and the number of visits approved
  • Assist with special projects, research activities, or departmental studies as needed
  • Coordinate general office functions, including workflow management, inventory control, purchasing, communication processes, and office security.
  • Schedule appointments and meetings, ensuring efficient calendar management
  • Answer and screen phone calls, provide accurate information to callers, and direct inquiries appropriately
  • Greet and assist visitors in a professional and courteous manner
  • Manage incoming and outgoing mail and correspondence distribution
  • Maintain organized records and ensure compliance with organizational policies and procedures

OFFICE EQUIPMENT USED

Telephone, fax machine, computers and printers, copier, postage machine, and shredder.

COMPUTER SYSTEMS USED

EPIC, Outlook Email, Excel, Word

Minimum Qualifications:

Associates Degree or pertinent college level courses and three years of administrative/office management experience. Will consider equivalent combination of education and experience.
