What you will do:
- Coordinate meeting logistics for monthly operating reviews, executive sessions, and recurring planning cadences
- Assist with executive travel booking and logistics (flights, hotels, itineraries) as requested
- Process and reconcile expense reports for supported executives
- Help identify and schedule shared availability across multiple executive calendars for group meetings (not full calendar ownership for any single principal)
- Own day-to-day office operations: supplies, kitchen/breakroom stock and cleaning, vendor relationships, basic facilities coordination
- Serve as the front-desk point of contact for visitors, candidates, and vendors
- Manage incoming/outgoing mail, shipping, and appropriate and timely disbursement internally
- Coordinate new-hire workspace setup as directed
- Support execution of company events, team outings as directed by People Operations and leadership (logistics, vendor coordination, day-of setup)
- Assist with event-related administrative tasks (invitations, headcounts, ordering, room setup)
- Support People Operations and employee engagement functions in an administrative capacity
What you need:
- 2–4+ years of experience in office management, administrative coordination, or multi-principal support
- Demonstrated ability to prioritize competing requests from multiple stakeholders
- Proficiency with calendar management, expense platforms, and Microsoft Office
- Strong organizational skills with exceptional attention to detail and follow-through
- Ability to work independently, exercise sound judgment, and adapt to changing priorities
- Maintains confidentiality and exercises discretion when handling sensitive and confidential information
