    Description

    The Office of Admissions seeks an administrative professional to support the Domestic Field Programs & Recruitment and the Student Relationship Management (SRM) teams, as well as the broader Office of Admissions. This position coordinates travel, college fair planning, and shipment of recruitment materials; manages office budget reconciliation, credit card administration, invoicing, and related financial processes; and provides general administrative and operational support, including calendar coordination, scheduling, and document preparation. The position also serves as a primary point of contact for prospective students, parents, high school personnel, and external partners, and delivering excellent customer service consistent with Syracuse University's mission, both remotely and at in-person events.

    Education and Experience

    • Bachelor's degree preferred, or equivalent combination of education and experience (minimum: high school diploma or equivalent).
    • Minimum of 3 years of experience in an office or administrative support setting; academic setting experience preferred.
    • Budget management and/or financial/operational experience preferred.

    Skills and Knowledge

    • Strong attention to detail, organization, and ability to manage multiple competing priorities and deadlines.
    • Excellent interpersonal, verbal, and written communication and customer service skills.
    • Ability to handle sensitive and confidential information professionally.
    • An appreciation for Syracuse University's mission.
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), virtual meeting platforms, and Adobe Acrobat.
    • Ability to learn budget management, CRM, and other web-based information systems and applications.
    • Interest in and ability to work as part of an energetic, collaborative team.

    Responsibilities

    • Financial and Budget Management: Administers and reconciles University credit card program activity for the team; processes reimbursements, invoices, and program budgets; coordinates with university offices and external vendors on budgetary matters, account management, event logistics, food services, shipping, and travel arrangements.
    • Administrative and Operational Support: Provides comprehensive administrative support to team leadership, including calendar coordination, appointment scheduling, and daily office procedures; assists with preparation, editing, and proofreading of documents, reports, presentations, and correspondence; maintains confidential files in accordance with university policy; manages office and recruitment material supply inventory.
    • Recruitment Materials and Event Coordination: Coordinates and tracks college fair invitations and event logistics; manages shipment of recruitment materials; partners with the Materials Warehouse to manage inventory of admissions publications and supplies; prints and packages admissions-related correspondence and materials as needed.
    • Customer Service and Communications: Serves as a primary point of contact and representative of Syracuse University and the Office of Admissions, delivering consistent messaging and excellent customer service to prospective students, parents, high school personnel, and other constituencies via phone, email, and in-person events.
    • Compliance Management and Other Duties: assists with general enrollment processing and application triage; troubleshoots operational challenges; performs other duties as assigned to support Admissions activities
