JOB SUMMARY
Under limited direction, provides advanced administrative or technical support to the Department of Cardiothoracic Surgery. Responsible for daily office and fiscal management duties to include collecting, compiling, and analyzing moderately complex data and information as needed. May lead or mentor lower-level team members.
JOB DUTIES
- Provides complex administrative and clerical support including all routine correspondence, mailing, scanning, faxing, and copying and maintaining filing system.
- Prepares complex reports, correspondence, and presentations.
- Answers phone calls and responds to inquiries.
- Manages calendars, schedules and coordinates meetings, appointments and travel arrangements as assigned.
- Maintains office supplies, as needed.
- Assists with the daily operations and fiscal activities of the department (including liaison for credentialing; submitting service ticket requests for reimbursements, facility work orders, etc.).
- Supports the Adult Cardiac and General Thoracic Surgeons (total 5 MDs); and additional hospital-based staff, i.e. nurse practitioners (NP), cardio-pulmonary perfusionists, as needed.
- Back-up to the Assistant-to-the-Chair.
- Back-up management for the monthly Cardiothoracic Surgery call schedule using Qgenda.
- Performs all other duties as assigned, i.e., monthly collection & review of contractual timesheets, entering faculty requested time-off in Qgenda and leave reconciliation.
EDUCATION AND EXPERIENCE
HIGHSCHOOL DIPLOMA OR GED AND Seven (7) years related experience is required.
