Administrative Assistant

Location: Albany, NY
 Contract Duration: 2 Years
 Schedule: Monday-Friday, 8:00 AM-5:00 PM
 Pay Rate: $19.00-$28.00 per hour

Position Overview

We are seeking a highly organized and dependable Administrative Assistant to provide comprehensive administrative and operational support in an Albany, NY office environment. The successful candidate will assist with daily office operations, calendar management, scheduling, correspondence, document preparation, records management, and coordination of meetings and travel.
The ideal candidate will be detail-oriented, able to manage multiple shifting priorities, and comfortable working independently as well as collaboratively with individuals across different teams and personalities.

Key Responsibilities

  • Manage staff calendars and scheduling on a day-to-day basis.
  • Provide administrative support in formatting and preparing reports, presentations, and other business materials.
  • Establish and maintain electronic and hard-copy files, logs, records, and tracking systems.
  • Arrange business travel and prepare related travel documentation and paperwork.
  • Schedule and coordinate in-person and virtual meetings, conference calls, and other appointments.
  • Compile, prioritize, sort, and distribute incoming and outgoing mail and correspondence.
  • Monitor office supply inventory and place orders as needed.
  • Answer, screen, and route telephone calls to the appropriate individuals or departments.
  • Enter data into electronic databases and retrieve or extract information as needed.
  • Assist with day-to-day office operations, including supplies, equipment, correspondence, document management, and general administrative needs.
  • Prepare and organize information for reports and presentations.
  • Maintain accurate and organized records while ensuring documents are readily accessible.
  • Provide general administrative assistance to staff and management.
  • Support special assignments, projects, and other duties as assigned.

Minimum Qualifications

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience working in a professional office environment.
  • Proficiency with Microsoft Office applications, particularly:
    1. Outlook
    2. Word
    3. Excel
    4. Microsoft Teams
    5. Shared calendars
  • Experience using virtual meeting applications such as WebEx and Zoom.
  • Experience supporting day-to-day office operations, including supplies, equipment, correspondence, document management, and general administrative functions.
  • Ability to accurately enter data into and extract information from electronic databases.
  • Ability to work independently and effectively as part of a team with individuals of varying personalities and working styles.
  • Strong organizational skills with the ability to organize information into clear and accurate reports.
  • Ability to prioritize multiple assignments and manage shifting priorities.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and follow-through.
  • Ability to maintain confidentiality and handle sensitive administrative information appropriately.

Preferred Qualifications

  • Previous experience working for the New York State Department of Health (NYSDOH).
  • Experience working in a New York State government or public-sector environment.
  • Familiarity with state administrative procedures, reporting processes, and office operations.
