The Department of Surgery Division of Trauma and Acute Care Surgery is actively recruiting for an Administrative Assistant. This is an autonomous position that provides high-level administrative support to surgeons within the division. The Administrative Assistant performs various duties for clinical academic research and public service activities in order to optimize time spent by these doctors on administrative matters.

Job Duties • Responsible for scheduling and coordinating patient surgeries, diagnostic tests, or other ancillary procedures. Also processes all disability FMLA work excuses and insurance requests. • Serves as the contact person for the Division of General Surgery. The administrative assistant coordinates schedules to include scheduling meetings and preparing travel arrangements. Maintains calendars and assembles all appropriate information for upcoming meetings, also responsible for briefing physicians prior to meetings. • Manages and schedules clinic appointments, revises clinic schedules as necessary, reviews clinics prior to clinic date to ensure that they are scheduled appropriately. Processes clinic referral requests, new patient welcome letters, and surgery instruction letters. • Assists office manager with physician billing, ticket processing, monthly office reports, and back up for the processing of the 5 scheduled ATLS courses each year. • Coordinates all administrative requirements of faculty members, i.e., track CME credits, assist with applications and licenses, coordinate reimbursements, sort and respond to mail correspondence.
Experience with EPIC, Outlook, Word, and Excel preferred.
Minimum Requirements
A high school diploma and two years of work experience that is directly related to the area of employment. A bachelors degree may be substituted for the related work experience. Some positions require a valid drivers license and good driving record or correctable vision of 20/40 in both eyes with or without conventional lenses and physical qualifications in accordance with Federal Motor Carrier Safety Regulations Section 391.41 or AAVMA certification. Some positions require eligibility for bonding.
