Office Assistant II (JR-00625)

Location: Virginia Beach, VA

Pay Rate: $16.83

Job Duties

  • Provide administrative and data collection support to the Children's Services Act (CSA) Office.
  • Support the CSA Administrator, Community Policy Management Team (CPMT), Family Assessment and Planning Team (FAPT), and Office of Program Support (OPS).
  • Prepare member packets and assist with documentation for CPMT and FAPT meetings.
  • Open and close cases and serve as a central point of contact for public inquiries.
  • Answer and direct incoming calls, emails, and inquiries.
  • Coordinate and schedule meetings, webinars, and training sessions.
  • Receive, process, and distribute incoming mail.
  • Maintain client files, records, and filing systems.
  • Scan, copy, and distribute documents to providers and caseworkers.
  • Assist with meeting minutes and data collection for reporting purposes.
  • Collect and track provider and caseworker information related to Medicaid approvals and denials.
  • Maintain provider contracts and files.
  • Support audits, quality assurance reviews, policy development, and records management activities.
  • Develop and maintain tracking systems for reports and deadlines.

Qualifications

  • Combination of education beyond high school and/or experience equivalent
  • Strong administrative, organizational, and record-keeping skills.
  • Proficiency with Microsoft Office, computers, multi-line phone systems, and office equipment.
  • Ability to manage multiple priorities and maintain accuracy in a fast-paced environment.
