Salary: $45,000-$50,000

Job Summary
The New York Office Administrator will work closely with the NY office teams to ensure the administrative and operational process is adhered to daily, including receptionist responsibilities. The ideal candidate has strong communication skills and is exceptionally organized with an upbeat demeanor. In this role, you will provide a superior level of support to office personnel. This position requires a physical presence in the New York office five days per week.
Education and Experience
- 2-year degree
- At least 2 years of experience as an office manager, office administrator, receptionist, or similar position
- Experience with the Microsoft Office suite of products
Job Duties:
- Manage the office reception area and ensure cleanliness and organization are maintained.
- Regularly operate a multi-line phone system, forwarding message to appropriate parties in a timely manner.
- Maintain office conference rooms by keeping track of scheduling and setting up/breaking down supplies for all meetings.
- Maintain an adequate stock of supplies including office essentials, kitchen supplies, cleaning supplies, snacks, beverages, and bathroom supplies by placing orders as needed while adhering to budgets.
- On a daily basis, manage the kitchen by emptying the dishwasher, refilling plasticware, restocking snacks and beverages, and replacing garbage bags as needed.
- On a weekly basis, order office supplies as needed, perform an office walk-through to check supply inventory and manage the rooftop deck.
- On a bi-weekly basis, clean out the kitchen fridge, discarding anything that has expired or not marked by an employee.
- Manage the inventory of the office supply closet and copy room, ensuring it is neat and organized at all times.
- Maintain an adequate supply of all packaging and shipping materials.
- Perform regular straitening of the New York Office common areas including the kitchen, copy/supply rooms, etc.
- Manage all office maintenance issues, scheduling repairs with building maintenance and any vendors as needed.
- Prepare the office and conference rooms for all client meetings and company events.
- Address any office-related issues to the Building Manager and/or cleaning personnel.
- Support other departments such as Finance, recruiting, and human resources by completing duties as needed.
- Acts as a backup to the Sr. Manager of Travel as needed, by arranging employee travel and addressing travel questions and concerns.
- All other work-related duties as assigned by management.
