Department Assistant
Location: Kansas City, MO
Job Type: Long-Term Contract
We are seeking a tech-savvy and highly organized Department Assistant to provide administrative and operational support to department leadership and team members. This role is ideal for someone who is comfortable learning new technology, communicating across teams, organizing information, and supporting a variety of department initiatives.
Candidates with strong technology skills are encouraged to apply, including recent graduates or early-career professionals. Experience with AI tools, SharePoint, data reporting, or other modern business applications is a plus.
Responsibilities:
Provide administrative and operational support to department management and team members.
Assist with department initiatives, communications, presentations, reporting, and project tracking.
Prepare PowerPoint presentations, Excel reports, meeting agendas, meeting minutes, and other department materials.
Track budgets, expenditures, deadlines, action items, and department progress.
Assist with gathering and organizing data for budgeting, forecasting, business planning, and management reporting.
Send department-wide communications and distribute information to appropriate teams and stakeholders.
Maintain and update department documents and information within SharePoint.
Coordinate meetings, training sessions, department events, and other onsite/offsite activities.
Assist with meeting logistics, including scheduling, materials, room coordination, and meal ordering.
Maintain training records and assist with tracking required employee training.
Research questions and gather information to support department leadership and business initiatives.
Coordinate office resources, supplies, workspaces, and other department needs.
Handle sensitive and confidential information appropriately.
Support additional department projects and initiatives as needed.
Requirements:
High School Diploma/GED required; college degree or recent college graduates are welcome.
Strong technology aptitude with the ability and willingness to learn new systems and tools.
Proficiency with Microsoft Office, particularly PowerPoint, Excel, Word, and Outlook.
Experience with SharePoint preferred.
Exposure to AI tools, automation, reporting tools, or other emerging technologies is a plus.
Strong written and verbal communication skills.
Excellent organizational skills and attention to detail.
Ability to manage multiple priorities, deadlines, and assignments.
Ability to work independently, solve problems, and take initiative.
Professional communication skills with employees, management, clients, vendors, and other stakeholders.
