Job Summary
We are looking for individuals to join our client’s team as Clerical Assistant. You will provide administrative, patient registration, records management, and clerical support to ensure efficient daily operations and compliance with organizational policies and procedures.
Job Description
- Ensure “customer” satisfaction by welcoming all patients upon admission.
- Perform Registrations, Admissions, Discharges according to each unit.
- Ensure chart is complete and all loose paper properly added to patient chart.
- Record All Birth in Birthing logbook accordingly, i.e. patient demographics, delivery notes, etc.
- Communicate with the next tour on the status of the unit and any incomplete assignments verbally or via email.
- Answer phones, intercom system, and call person to the phone. If the person(s) is not available, inform the caller, and offer to take a message.
- Check that All Transfers, Death and Admissions are recorded properly. Always Know Unit Census.
- Prepare and Fill out PKU form and process for mailing and take package to assession (lab) room on the second floor.
- Maintain PKU Logbook.
- Prepare chart for transfer(s) and discharge(s).
- Prepare and Provide Birth Certificate work sheet to patients after every delivery including ITOPS and STOPS. Ensure all necessary information is completed based on the demographic information from the patient and the Birth Certificate worksheet.
- Ensure that All Providers complete their section of the Birth Certificate worksheet.
- Enter data from the Birth Certificate worksheet daily in the Department of Health (DOH) Evital System.
- Complete Acknowledgment of Parentage (AOP) form and scan it into the Evital System.
- All Completed Birth Certificate Must be submitted to the Birth Registrar/Unit Manager daily and in accordance with the 5-business day as determined by New York State DOH and Birth Registration Regulations.
- Visitor control e.g. allowing Only those persons approved by the Unit Regulations to visit.
- Update Head Nurse/designee of All daily activities prior to ending of shift.
- Ensure unit supplies are available as needed for your shift, i.e. (Paper, Pens, Stationary needed to prepare admission charts).
- Perform All other Clerical functions, but Not Limited to, as necessary and as delegated by the Associate Director/Nursing Director.
Skills Required
- Two years’ experience
- Computer literate, knowledge of Word/Excel, Good interpersonal and Organizational skills.
- Excellent Phone etiquette, Organized
- Prior medical office experience and knowledge of medical terminology preferred.
Education/Training/Certifications
- High School Graduate or Equivalent required
Additional Requirements
- Shifts: Tour 1 - 12:00 AM-8:00 AM; Monday - Friday with alternating weekends ( would have weekday off when working weekend day so it is still 5 days per week)
Pay Rate
- $22 - $26 per hour, based on experience, skills, and market factors
