Administrative Support


Job Summary


Performs a variety of clerical and administrative tasks with an emphasis on accuracy, privacy, quality, compliance, and versatility. Supports departmental operations through document management, data organization, and general office support.

Responsibilities
  • Perform office operations including filing, organizing, copying, scanning, answering phones, and distributing materials.
  • Organize, compile, file, and distribute correspondence and other documents using established methods.
  • Consult and coordinate with staff to generate, assemble, and update correspondence, departmental files, systems, manuals, logs, materials, and packets.
  • Assist departmental staff with clerical and administrative tasks and projects as assigned.
  • Meet quality, quantity, and timeliness standards to achieve individual and department performance goals.
  • Maintain current working knowledge of required systems, procedures, forms, and manuals.
  • Perform other related duties as assigned.

Requirements
  • Minimum 1 year of experience in an office or clerical role.
  • High school diploma or GED.
  • Ability to type at least 35 words per minute with an error rate of 5% or less.
  • Intermediate proficiency with office equipment including copiers, fax machines, scanners, and telephones.
  • Basic skills in word processing, spreadsheets, and databases.
  • Intermediate proficiency with personal computers.
  • Ability to perform light manual work, including lifting up to 20 pounds.
  • Ability to sit or stand for extended periods.
  • Ability to maintain confidentiality and privacy.
  • Strong verbal and written communication skills.
  • Ability to manage a diverse administrative workload under time constraints.
  • Ability to follow directions and adapt in a fast-paced, changing environment.
  • Ability to navigate, input, and maintain data in multiple system applications.
  • Ability to establish and maintain effective working relationships in a team environment.

Preferred Requirements
  • 1 year of experience in a health insurance, medical office, or other health-related field.
  • 1 year of experience in a sales or marketing environment.
  • Associate degree in a related field.
  • Knowledge of medical, pharmaceutical, and other health services terminology.
  • Knowledge of the organization and operations of health-related services.

  • Proven experience providing clerical and administrative support in an office setting.
  • Solid foundation in document management, data entry, and general office operations.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Strong organizational and time-management skills with attention to detail.

Skill
  • Intermediate proficiency with Microsoft Excel;strong basic knowledge required (advanced formulas and pivot tables not required).
  • Basic proficiency with word processing, spreadsheet, and database software.
  • Intermediate general PC skills.
  • Ability to research, gather, and analyze information at a basic level.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to organize and prioritize multiple tasks and deadlines.
  • Attention to detail and commitment to quality and accuracy.
  • Ability to work effectively in a collaborative, team-oriented environment.
