Executive Administrative Assistant (Contract-to-Hire)

Location: Boston, MA 
Duration: 6-Month Contract with Potential for Full-Time Conversion
Schedule: On-site 4 days per week
Pay Rate: $24–$28/hour

Urgent Hiring Need

We are seeking a highly organized and proactive Executive Administrative Assistant to support senior leadership in a fast-paced, collaborative environment. This is a contract opportunity with strong potential to convert to a full-time role.

In this position, you will partner closely with executive leaders to keep priorities moving, communications streamlined, and operations running efficiently. You’ll play a key role coordinating across teams, stakeholders, and global time zones while ensuring a high level of professionalism and discretion.


Key Responsibilities

  • Provide proactive, high-level administrative support to executive leadership.
  • Manage complex calendars, meeting scheduling, and conference room coordination.
  • Prepare agendas, presentations, reports, and meeting materials to support executive decision-making.
  • Coordinate domestic and international travel arrangements, including multi-leg itineraries and last-minute schedule changes.
  • Process expenses and invoices while tracking action items and follow-ups to ensure timely completion.
  • Partner with colleagues across multiple locations and time zones to maintain smooth communication and operational alignment.
  • Exercise strong judgment and confidentiality when handling sensitive information.
  • Support process improvements and help create scalable administrative workflows.

Required Qualifications

  • 5+ years of experience supporting senior leaders or executives in an administrative capacity.
  • Strong proficiency in Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Proven ability to manage multiple priorities and support more than one stakeholder simultaneously.
  • Excellent organizational skills with the ability to adapt quickly in a fast-paced environment.
  • Experience coordinating complex travel logistics across time zones.
  • Strong attention to detail with excellent follow-through and accuracy.
  • Professional communication and interpersonal skills with a customer-service mindset.
  • Ability to remain calm, resourceful, and solutions-oriented under pressure.
  • Strong written and verbal communication skills.

Preferred Qualifications

  • Bachelor’s degree, associate degree, or equivalent relevant experience.
  • Experience using administrative and expense management systems such as Ariba Buyer, Axiom, and Concur.
