    Responsibilities


    Customer Service & Administrative Support

    • Oversee administrative staff to ensure prompt, accurate, and professional responses to incoming emails and phone calls.

    • Manage the administrative team to ensure projects and daily responsibilities are completed efficiently and effectively.

    • Review and create documents to ensure established brand standards are maintained.

    • Oversee electronic fund transfers and financial transactions as requested.

    • Support managers, volunteers, and members with various administrative and database-related tasks.

    • Monitor departmental budgets and reconcile invoices and expenditures.

    • Coordinate and conduct office tours for visitors upon request.

    • Complete additional projects and administrative responsibilities as needed.


    Logistics & Events

    • Plan and execute shipping logistics for regional and national events.

    • Manage office equipment and maintain appropriate inventory of supplies.

    • Serve as an onsite coordinator for staff events.

    • Prepare materials and supplies for regional and national events.

    • Monitor inventory at off-site storage facilities between events.

    • Maintain shipping and mailing systems and software.

    • Manage inventory of shipping supplies, office supplies, correspondence materials, and organizational materials.

    • Support the Systems team with hardware inventory, including maintaining timely and accurate records for loaned equipment.

    • Ensure appropriate office access procedures are followed for visitors and vendors.

    • Coordinate office closure procedures as needed.


    Education & Experience

    • Bachelor’s degree required.

    • At least 2 years of experience in an administrative office environment.


    Technical Skills

    • Strong data entry and data quality assurance skills.

    • Proficiency with Microsoft Office 365 products.

    • Ability and willingness to learn new software, systems, and procedures.

    Qualifications & Requirements

    • Demonstrated excellence in customer service.

    • Strong computer skills, including experience with Microsoft Office 365, Adobe, and database systems.

    • Experience managing teams and projects.

    • Experience working with a membership-based or volunteer organization is a plus.

    • Excellent written and verbal communication skills.

    • Strong attention to detail and organizational skills.

    • Excellent interpersonal skills with a positive, flexible attitude.

    • Ability to cross-train and learn new database systems and procedures.

    • Ability to lift up to 50 lbs.
