  • Administrative Manager for The Deans Office Posted On April 20 2026Hours Full TimeDescription JOB SUMMARYThe Manager for the Office of the Dean for the School of Art will have the primary responsibility for managing and maintaining a high-level of effectiveness for the Deans Office by providing comprehensive results-oriented administrative and professional support and for project management of activities assigned by the Dean. The Manager will act as the first point of contact for the Dean. This position will be responsible for the management preparation and distribution of all materials internal and external communications from the Deans Office and will be responsible for managing the PT Administrative Assistant working in the School of Art.KEY RESPONSIBILITIES•    Provide administrative support to the Dean and Associate Dean through the management of the day-to-day activities communications strategic initiatives events while ensuring a responsive successful and efficient workflow.•    Serves as the lead project manager for the Deans office including setting goals and timelines distributing tasks to others as appropriate and managing follow-up to ensure high-quality timely completion.  •    Serves as the lead writer for the Deans day-to-day communications including drafting internal and external letters talking points and presentations consistent with the Deans goals. Regular review of School of Arts Newsletter and other platforms of messaging.•    Provides a high level of project management support to the Dean including heavy and strategic schedule management as well as coordinating the Deans involvement at meetings and events with key College stakeholders empowered to make schedule changes to best support the Deans goals often making independent decisions on competing appeals that must be quickly and thoughtfully prioritized.  •    Handles assignments that are complex in a nature where independent action and a high degree of initiative and confidentiality are required in resolving problems and developing recommendations. •    Prepares Dean and Associate Dean for high level meetings manages travel and itinerary for all off-campus activities and researchesfurnishes all necessary background information needed to facilitate Deans successful participation in these activities. •    Works with Deans staff to set meeting agendas. and manages meeting follow-ups ensuring that all responsible parties complete their deliverables and have the necessary institutional support in doing so. •    Serves as the initial contact point for the Dean communicating effectively and making quick and sound judgments on next steps for sensitive matters brought to the Dean. •    Intersects with faculty staff students and alumni in a fast-paced service-oriented office environment that often involves sensitive or confidential matters. •    Independently anticipates the Deans administrative needs and proactively   brings together appropriate people and resources in support. •    Prioritizes and triages requests to the Deans office reassigning inquiries to other departments to assure effective and timely resolution.•    Assumes other duties as assigned.    SKILLSREQUIREMENTS•    A minimum of 5 years of experience supporting a senior level executive. •    Excellent oral and written communications skills including at least 5 years of experience in institutional writing and writing for senior executives. •    Demonstrated track record of handling sensitive and confidential information and professional relationships. •    Must be completely customer focused and able to represent the Deans Office in a professional manner creating a positive effective and welcoming environment.  •    Ability to take initiative multi-task and act independently. •    Strong communication and interpersonal skills are essential. •    Must be detail oriented organized and highly motivated. •    Must have excellent prioritization planning and organizing skills with the ability to effectively manage multiple projects simultaneously •    Ability to be flexible and work until the job is done. •    Must have strong organizational and interpersonal skills•    Must be able to maintain a high degree of confidentiality at all times. •    Must have a thorough knowledge of MS Office Word Excel PowerPoint etc. slide presentation software and web maintenance. •    Ability to work with all constituencies with tact and diplomacy. •    Ability to understand the importance of providing high level responsive service to both internal and external constituencies. EDUCATIONBachelors degree Annual Salary - 80000 - 89000 This is a non-union position.The Cooper Union for the Advancement of Science and Art is an Equal Opportunity Employer.Email materials to hrcooper.edu
