What Youll Do

As an Administrative Coordinator, youll provide senior-level administrative and operational support to the Firmwide Director of Pro Bono and Pro Bono Counsel. This visible and fast-paced position demands independence, sound judgment, and discretion, especially when supporting firm leadership and handling sensitive information. As a trusted partner, the Administrative Coordinator is expected to anticipate needs, manage complex priorities, and take ownership of projects that enhance firmwide pro bono operations. The role combines high-level administrative support with project and process management, thriving in an environment that encourages autonomy, adaptability, and initiative.

  • Manage complex calendars for senior leaders, including coordination of meetings, logistics, and schedule changes.
  • Support firmwide pro bono operations, which includes responding to financial audit requests, overseeing attorney departures, tracking pro bono time reporting, and new employee orientation.
  • Oversee operational processes such as reporting, library management, intranet, and document administration.
  • Prepare and reconcile expense reports, check requests, vendor set-ups, and invoices.
  • Coordinate domestic and international travel, ensuring compliance with firm policies and leadership preferences.
  • Draft, proofread, format, and manage correspondence, memos, emails, materials and further organize materials for presentations and meetings.
  • Handle general administrative duties including filing, scanning, copying, and mail distribution.
  • Provide project management support for pro bono initiatives and special projects, with opportunities to take on additional responsibilities as skills and experience develop.

What Youll Bring

  • At least five (5) years of experience providing senior-level administrative support, preferably within a law firm or professional services environment.
  • Bachelors degree or equivalent professional experience.
  • Strong proficiency with Microsoft Outlook, Excel, Word, and PowerPoint, along with the ability to quickly adapt to new systems.
  • Demonstrated ability to anticipate needs, manage competing priorities, and work independently with minimal supervision.
  • Excellent organizational, communication, and interpersonal skills, coupled with a high degree of professionalism, discretion, and attention to detail.
  • Ability to remain calm and effective in a fast-paced, deadline-driven environment, with flexibility to handle occasional time-sensitive requests outside standard business hours.

Compensation

The base salary range below represents the low and high end of the salary range for this position in New York City. This range may differ based on your geographic location and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary.
