OVERVIEW

The Administrative Assistant provides high-level administrative support to executives and senior leadership, serving as a key point of contact for office operations and case administration. This role requires strong organizational skills, attention to detail, and discretion in handling sensitive information. The Administrative Assistant coordinates meetings and projects, maintains accurate records and databases, prepares reports and materials, and supports cross-functional initiatives to ensure smooth and efficient operations.

The successful applicant will have a hybrid work arrangement and must reside within a 125-mile radius of our NY headquarters in the financial district. The starting salary range for the position is $72,000 - $76,500. This role is eligible for an incentive opportunity targeting 7.5% of annual salary.

ESSENTIAL FUNCTIONS

  • Provideshigh-leveladministrativesupporttoStateInsuranceexecutiveteamandseniormanagement.
  • CollaborateswithCorporateServicesandcross-functionalteamstosupportbusinessneedsandthe effective delivery of operational priorities; reports on-site, in person, as required.
  • Performsabroadrangeofassignmentswithflexibility,includingcross-functionalcollaboration,auditing activities, and ad hoc projects in support of business objectives.
  • Maintainsdatabases,files,andrecord-keepingsystems,ensuringaccuracy,organization,anddata integrity.
  • Plansandcoordinatesmeetings,conferences,trainingsessions,andevents,includingallrelatedlogistics.
  • Preparesreports,presentations,correspondence,andotherbusinessmaterials.
  • Handlessensitiveandconfidentialinformationwithdiscretionandprofessionalism.
  • Supportsandcoordinatesprograms,projects,andinitiatives,includingtrackingprogress,identifying risks, and assisting with issue resolution.
  • Compilesandanalyzesdatatosupportreportingandevaluationofoperationalorprojectperformance.
  • Assistsinreviewingandimprovingadministrativeprocessestoenhanceefficiencyandeffectiveness.
  • Maintainsregularandreliableattendanceandparticipatesinmeetingsandtrainingasrequired.

EDUCATION & EXPERIENCE
Associate degree and a minimum of 3 years of progressive experience in an administrative support capacity; or an equivalent combination of education and experience.

KNOWLEDGE, SKILLS, & ABILITIES

  • Strong organizational and time management skills, with the ability to prioritize tasks, meet
    deadlines, and manage multiple projects simultaneously
  • Excellent verbal and written communication skills, with the ability to interact professionally with
    individuals at all levels of the organization
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant
    software applications
  • Exceptional attention to detail and accuracy in all aspects of work
  • Ability to maintain strict confidentiality and exercise discretion when handling sensitive
    information
