Position Overview:
The Administrative Assistant provides essential support to the Foot Orthotics Department by managing clerical tasks, coordinating communication, and maintaining organized records. This role ensures efficient administrative operations, allowing the lab staff to focus on production while maintaining compliance with company policies and procedures.
Required Education, Skills and Experience:
- High school diploma or equivalent; associate’s degree in business administration or a related field preferred.
- Minimum of 1-3 years of experience in an administrative or office support role, preferably in a healthcare or manufacturing environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry systems.
- Strong organizational skills with the ability to multitask and prioritize workload.
- Excellent communication and interpersonal skills for working with staff, vendors, and clients.
- Attention to detail and ability to maintain accurate records.
- Basic knowledge of billing, purchasing, and inventory management processes is a plus.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
Essential Functions/Responsibilities (other duties may be assigned):
- Manage daily administrative operations, including answering phone calls, responding to emails, and handling correspondence.
- Maintain accurate records of production schedules, orders, and inventory.
- Assist with purchasing and tracking materials and supplies for the lab.
- Prepare reports, documents, and presentations as needed.
- Coordinate meetings, training sessions, and appointments for lab personnel.
- Handle data entry and ensure all documentation is accurate and up to date.
- Support compliance efforts by maintaining and organizing regulatory and safety documentation.
- Serve as a liaison between the lab and other departments to facilitate smooth workflow.
- Assist with onboarding and training documentation for new hires.
- Perform other administrative tasks as assigned to support the department’s efficiency.
