Sigma, Inc. is seeking a highly organized and professional Administrative Assistant to support the Chief Data Officer (CDO) and Assistant Secretary for Strategy and Planning at the Commonwealth of Massachusetts – Executive Office of Technology Services and Security (EOTSS). This is an excellent opportunity for an experienced executive administrative professional with strong calendar management, communication, and Microsoft Office skills.

Job Details

  • Job Title: Administrative Assistant (Executive Support)
  • Location: Boston, MA 02108
  • Worksite: One Ashburton Place, 8th Floor
  • Duration: 10-Month Contract
  • Schedule: Monday – Friday, 9:00 AM – 5:00 PM
  • Work Arrangement: 100% Onsite

Responsibilities

  • Provide executive administrative support to the Chief Data Officer (CDO) and Assistant Secretary for Strategy and Planning.
  • Manage complex executive calendars, schedule meetings, and coordinate appointments.
  • Resolve scheduling conflicts and prioritize competing requests.
  • Maintain conference room calendars and coordinate meeting logistics.
  • Prepare agendas, presentation materials, reports, and executive correspondence.
  • Format and edit executive-level documents using Microsoft Word, Excel, PowerPoint, and SharePoint.
  • Communicate meeting updates, calendar changes, and follow-up action items.
  • Manage written and verbal communications with professionalism and discretion.
  • Provide front desk coverage for the Executive Office as needed.
  • Support senior leadership and the Executive Office Administrative Services team with special projects.
  • Maintain confidentiality while handling sensitive executive information.
  • Deliver exceptional customer service to internal and external stakeholders.

Required Qualifications

  • Minimum 2 years of experience supporting C-level executives or senior leadership.
  • Strong experience managing complex executive calendars and scheduling meetings.
  • Excellent organizational and time management skills.
  • Exceptional attention to detail and ability to manage multiple priorities.
  • Outstanding written and verbal communication skills.
  • Strong interpersonal skills with the ability to build relationships across all organizational levels.
  • Proven ability to exercise discretion and handle confidential information.
  • Ability to work independently while contributing to a collaborative team environment.
  • Demonstrated problem-solving and decision-making skills.
  • Experience meeting deadlines in a fast-paced office environment.
  • Advanced proficiency with:
    • Microsoft Office 365

Preferred Qualifications

  • Experience supporting executives in a government, public sector, or large corporate environment.
