Job Description
We are seeking an Administrative Assistant to join our team supporting the Executive Office of Technology Services and Security (EOTSS). The ideal candidate will have strong experience in executive administrative support, complex calendar management, and Office 365 tools and a proven ability to manage confidential communications, prioritize competing deadlines, and support senior leaders in a fast-paced environment.
Responsibilities:
- Manage calendars and meeting communications for the Chief Data Officer (CDO) and the Assistant Secretary for Strategy and Planning, resolving conflicts and prioritizing requests.
- Maintain conference room calendars and coordinate logistics.
- Support management staff and the Senior Executive Assistant to the Secretary as needed.
- Communicate agendas and respond to calendar changes in a timely manner.
- Draft, manage, and track written and verbal correspondence with discretion and confidentiality.
- Prepare presentation materials and agendas and send follow-up communications.
- Format and edit executive-level documents using Microsoft Word, PowerPoint, and Excel.
- Provide front desk coverage for the Executive Office as needed.
Required Skills & Qualifications:
- Prior experience supporting C-suite leaders, including complex calendar management.
- Strong proficiency in Microsoft Office 365, including PowerPoint, Word, Excel, and SharePoint.
- Excellent interpersonal, written, and verbal communication skills.
- Ability to prioritize multiple tasks with attention to detail and meet deadlines.
Preferred Skills:
- Minimum 2 years of experience supporting C-level management.
- Demonstrated proactive problem-solving and sound decision-making.
- Ability to handle confidential information with discretion and provide high-level customer service.
- Ability to work independently and as a resourceful team member.
Role Logistics:
- Work location: One Ashburton Place, 8th Floor, Boston, MA 02108.
- Schedule: Monday through Friday, 9:00 AM to 5:00 PM EST.
- Hours per day: 7.5. Days per week: 5.
