Title: Administrative Assistant
Duration: 2 years
Location: Albany, NY 12257
Shift Timings: Mon-Fri (9:00am to 5:00pm)
Pay: USD 20/hr-USD 22/hr

Position summary:
The Mail & Workflow Coordinator is responsible for managing incoming and outgoing correspondence, ensuring timely processing of complaints and appeals, maintaining workflow accuracy, and acting as a liaison between the organization and external entities. The role requires strong organizational skills, attention to detail, and proficiency in Microsoft Office to support daily administrative and clerical operations in a fast-paced environment.
 
Key Responsibilities:
  • Manage incoming mail and ensure timely processing of correspondence.
  • Review complaint and appeal documents to determine proper workflow handling.
  • Track and process certified, overnight, and priority mail.
  • Read and code documents in workflow management systems for appropriate routing.
  • Manage outgoing correspondence and ensure timely notification of complaint outcomes.
  • Serve as the liaison with regulated entities by sending correspondence and following up on overdue responses.
  • Resolve workflow processing issues and errors.
Minimum Qualifications
  • Minimum 3 years of experience in an administrative or clerical roleperforming:
  • Managing incoming and outgoing mail.
  • Reviewing documents and determining appropriate processing.
  • Coordinating correspondence with external organizations.
  • Following up on outstanding responses.
  • Resolving workflow issues and processing errors.
  • Communicating with customers, consumers, or external organizations to obtain required information.
Preferred Qualification:
  • Experience working with complaint or case management systems.
  • Experience using workflow management software.
  • Experience in healthcare, insurance, government, or regulatory environments.
  • Experience handling confidential or sensitive documents.
